Job/Position DescriptionCPS PA Admin Asst IIThis position provides administrative support or technical program assistance work to the Program Administrator and other managerial staff. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. May train others. Works under moderate supervision with limited latitude for the use of initiative and independent judgment. This position interacts routinely with DFPS staff including program administrators, program directors, supervisors, the regional director, representatives from various organizations and the general public. Essential Job FunctionsFiling, control of secure and confidential records, basic operations in administration of CPS business including emac completion, purchasing of business materials, tracking time and leave, coordinating efforts among all techs so that the program is effecient in our processes. answering phone at desk, responding to inquiries, taking messages, Prepares, edits, types, and distributes various types of print and electronic correspondence, reports, forms, and records. Produces documents from written and dictated material. Assists in compiling, entering, and analyzing data for reports. Reviews, prioritizes, and processes incoming and outgoing agency print and electronic correspondence. Schedules agency staff travel and processes required travel documentation. Coordinates and maintains systems for inquiries. Develops and maintains filing and record keeping systems, including electronic files and distribution lists. Coordinates meetings, produces agenda items, and distributes meeting notes. Handles inquiries by phone, providing general information or referring callers as needed. Provides support and reports to the Child Protective Services Program Administrator. Coordinates and schedules meetings, conferences, trainings, and seminars. Handles registration, produces and distributes agenda items and materials, and records and distributes meeting notes. Performs other duties as assigned and required to maintain CPS program activities. Promotes, monitors and ensures that respect is demonstrated for cultural diversity. Attends work regularly in accordance with agency leave policy. Registrations, Licensure Requirements or CertificationsNone required. Initial Screening CriteriaGraduation from high school or equivalent and#149; Three years full-time administrative support, general office, clerical, secretarial or Texas Department of Family and Protective Services experience.
