Position Description:

Performs complex work computing, classifying, recording, and verifying numerical data for use in maintaining accounting records. May supervise subordinate employees.

Major/Essential Functions:

  • Process procurement requisitions and travel reimbursements for US PREP team, providers, and district partners including: submission of purchase orders, invoices for non-employee consultants, and TTU employee travel reports ensuring TTU policy compliance.

  • Assist in monthly tracking of p-card transactions through Chrome River and SmartSheet, assists in preparation of monthly reports for submission to Procurement office.

  • Assist in tracking of the budgeted travel reimbursements as they are processed via the TTU travel system or procurement services using SmartSheet.

  • Utilizes the US PREP travel Inbox, organizing incoming travel into appropriate folders, and archiving once travel is processed.

  • Assist, as needed, in preparing reports as needed for funding agencies, COE Research Office, and other requested/required reports.

Preferred Qualifications:

  • Experience in processing travel, purchase orders, and p-card reconciliation in a higher education setting.

  • Ability to communicate well with all levels of professional individuals verbally and in writing.

  • Ability to be flexible and pivot as changes are needed.

  • Have strong initiative and be able to work in a fast paced office with many on-going projects.

Occasional Duties:

  • Assists in planning US PREP Convenings and other program meetings or events.

  • Assists in the logisitcal facilitation of all program events to include participant travel, travel reimbursements, facility rentals/lodging, invitation notices, and attendee management, catering, and all other arrangements needed to set up meetings or events.

  • Assist US PREP providers with travel arrangements and reimbursements of expenses for all US PREP Center program convenings.

Required Qualifications:

Completion of high school or the equivalent with four years progressively responsible experience. May require a typing proficiency of 60 words per minute. Additional education may substitute for required experience on a year for year basis.
