Vanguard Plan Document Specialist in Malvern, Pennsylvania

The Plan Document Special will accurately and timely support clients and prospects with IRS pre-approved plan document services, including on-boarding, amendments, restatements, fits, and protected benefit analysis.

The ideal candidate will be adaptable to change, possess attention to detail and an enthusiastic learner!

Impact you will make:

  • Leads the review and interpretation of the client's plan document in order to provide accurate, timely and comprehensive IRS pre-approved plan document support. Maintains reliance on pre-approved documents, while incorporating provisions to meet the needs of the client. Drafts Adoption Agreements and plan amendments. Reviews IRS pre-approved plan documents as well as custom plan documents for merger and protected benefit analyses and hardship determination services procedures. Manages various document provisions. Ensures compliance with ERISA in accordance with Vanguard’s policies and procedures.

  • Communicates effectively with internal and external clients to consult on and position document capabilities, gather

  • requirements, identify and resolve issues, provide project statuses, and ensure client expectations are met. Engages directly with the client and their counsel to determine accurate document interpretation and intent. Ensures all request for document changes and consultations are completed timely and accurately.

  • Identifies risk and solves problems in collaboration with team members. Ensures client plan documents remain within regulatory parameters.

  • Ensures accurate document set-up through documentation of supporting information and execution of audit processes. In consultation with the client, interprets design features to determine document provisions. Utilizes knowledge of applicable laws, regulations, and document provisions to draft client documents in compliance with IRS regulations.

  • Assists peers and team members with issue resolution and training efforts.

  • Participates in special projects and performs other related activities as assigned. Supports, as needed in a back-up capacity, department and team initiatives including the prototype and volume submitter amendment projects

  • Develops an awareness of retirement plans and financial market issues, and deepens technical knowledge through internal training classes, and certification programs such as ASPPA or CEBS

  • Supports and participates in corporate initiatives such as Swiss Army, VUE, and diversity initiatives

What it takes:

  • Undergraduate degree or an equivalent combination of education and experience.

  • Three to five years of specific related work experience (e.g. defined contribution plan administration or related experience in either a legal, consulting or corporate setting)

  • Advanced certifications (ASPA, CEBS) preferred

  • Strong knowledge of ERISA and administrative experience with both qualified and non-qualified plans

  • Strong project management and excellent organizational skills needed to meet numerous due dates falling in close proximity

  • Detail oriented and excellent problem solving skills
