Amazon Payroll Specialist, Finance Pay Services - Japanese in Manila, Philippines

Amazon seeks an English and Japanese speaking Finance Payroll Specialist to join our Finance Pay Services Hub located in Manila. The candidate should have at least two years payroll and/or HR data management experience in a large customer-oriented corporate environment. Role holder will provide payroll administration services and support to our employees. This role demands both a high level of accuracy and systems ability and also the ability to communicate effectively in written and verbally. Payroll is processed on monthly basis in multiple states, and this person will perform a variety of technical tasks relative to assigned areas of responsibility including project management support, Payroll operations, SOP creation and updates, data compilation and support of the Pay Services Team.

Key job responsibilities

• Work as a process expert to review and optimize pay services related processes for countries that supported by MNL Pay Services hub ( primarily for Japan and/or other countries), you may need to support/backup junior associates on daily processes and operations

• Create and update SOPs and other internal materials, participation in continuous improvement of HR and Payroll processes

• Work as a key POC for MNL hub related projects support and may lead small to medium scale projects independently

• Work on and support key employee life cycle pay processes, may process end to end pay preparation related work for multiple countries ( such as Japan and/or other countries).

• Generate and administer documents based on given frameworks and participation guidelines for all countries/companies/organizations supported by the MNL Pay Services hub

• Maintain, manage and regularly audit all electronic personnel files.

• Performs/reviews various analysis and reconciliation and prepares various reports (daily, weekly, monthly, quarterly and annual)

• Input, update and maintain all payroll related data via PeopleSoft in a timely manner, carry out audits and checks on data changes to ensure accurate and timely payment of the employee population

• Produce timely responses to employee inquiries, including escalated queries handling

• Understand processes and program regulations and the way they have been translated into existing technical environment

• Take ownership of customer / employee contacts ensuring that each contact is accepted and resolved with a high degree of customer focus.

• Meet setup SLA and KPIs, deep dive on root causes analysis of any KPI missed cases/tickets

• Communicate effectively both verbally and in written form with employees to explain and resolve queries and concerns. This could be via email, phone and chat / instant messaging.

• Be part of a team that actively seeks customer feedback to improve levels of service.

Basic Qualifications

• N1 or equivalent Japanese proficiency level, excellent verbal and written communication skills in both Japanese and English, other languages is an advantage

• At least 2 years of work experience in HR and/or payroll data management, Payroll operations or similar role preferred

• Computer literacy (Excel, Word, PowerPoint, Outlook)

• Ability to work in international teams where team members are in different locations and belong to different cultures.

• Ability to work with confidential information

• Ability to work in changing environment

• Bachelor degree or equivalent work experience

Preferred Qualifications

• Solid knowledge on local laws and labor regulation of Japan is preferred

• Be flexible to work per Japan holiday/working calendar

• Experience in processing end to end payroll related work for Japan

• Experience in supporting customers based out in Japan

• Experience working in a Payroll Operations team or HR Shared Service Environment.

• Experience of working in a transactional / process based environment

• Experience working in multinational company

• Experience working with KPI and SLA
