Position Overview:\
The HVAC Estimating Manager is responsible for leading and managing the
estimation process for HVAC projects, ensuring accurate and timely cost
estimates that align with company goals and client expectations. This
role involves collaborating with project managers, sales teams, and
engineers to create comprehensive bids and proposals. The Estimating
Manager will oversee all aspects of project estimation, including labor,
materials, equipment, and subcontractor costs.
Key Responsibilities:
- Experience & Skills: Must possess all the qualifications and
skills required for a Level II HVAC Installer, including technical
HVAC knowledge and field experience.
- Bid Management: Ability to review and bid jobs as they come in
via email, ensuring bids are prepared and submitted within 24 hours
of receipt.
- Cost Calculation: Skilled at calculating the true cost and
profit margins of each job, factoring in materials, labor,
equipment, and overhead.
- Job Cost Tracking: Develop and maintain a comprehensive job cost
database from past projects to improve future estimating accuracy
and company profitability.
- Collaboration & Coordination: Regularly coordinate with the
Residential Manager and Install Manager to ensure smooth handoff and
execution of jobs.
- Job Site Visits: Must be able to drive and be insured for site
visits, as needed, to assess job requirements and provide accurate
estimates.
- Proactive Job Sourcing: Proactively seek out and bid new job
opportunities, ensuring a consistent pipeline of work for the
company.
- Sales & Upselling: Ability to sell upgraded HVAC units,
accessories, extended labor warranties, and maintenance agreements
to maximize profit and meet customer needs.
- General Contractor Coordination: Meet with general contractors
to review job requirements, design plans, and coordinate effectively
with the Install Manager.
- Time Management: Maintain the capacity to manage an excess of
jobs and ensure all deadlines are met.
- Prepare and Review Estimates: Develop cost estimates for HVAC
systems, including materials, labor, and equipment, using company
tools and software.Ensuring the accuracy and consistency of all
estimates provided.
- Bid Coordination: Collaborate with vendors, general contractors,
and salesman to understand project scopes and requirements, ensuring
bids are competitive and align with client needs.
- Cost Analysis: Analyze historical data and current market trends
to ensure accurate and competitive pricing for all estimates.
- Vendor and Subcontractor Coordination: Solicit and review quotes
from vendors and subcontractors, ensuring that pricing is in line
with project requirements and budgets.
- Client and Project Interaction: Interface with clients and
project managers to clarify project specifications and scope of work
for accurate estimations.
- Continuous Improvement: Develop and implement best practices and
processes for the estimating team to increase efficiency and
accuracy.
- Documentation and Reporting: Maintain accurate records of all
estimates and submit reports to upper management on the performance
of the estimating department.
- Software Utilization: Use estimation software such as Builder
trend, QuickBooks, or similar platforms to manage estimates and
track project progress.
- Team Training and Development: Provide mentorship and training
for junior estimators, ensuring high-quality standards within the
department.
