The Executive Dean for Research’s Office based in the Miller School of Medicine (MSOM), has an exciting opportunity for a Full-Time Remote or Hybrid position for a Sr. Manager, Sponsored Programs. This role supports the research mission of the University of Miami, MSOM, and the goals of the Executive Dean for Research Office. Applicants must have relevant federal grant (NIH, DOD, NSF) to be considered for this role.

The Senior Manager, Sponsored Programs directs and oversees all administrative and financial aspects of the Sponsored Programs division at the assigned facilities. The Senior Manager, Sponsored Programs operates with the goals of increasing sponsored funding levels and the output of funding proposal, as well as maximizing the use and efficacy of existing research funding dollars. Further, the incumbent develops and implements policies and methods that further these goals.

CORE JOB FUNCTIONS

Identifies potential donors or sources of funding and plans outreach strategies. Participates in the development of grants applications and proposals. Schedules and oversees planning for special events that publicize the organization and its programs to the community. Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports. Negotiates contractual provisions with potential partners. Develops and provides reports or documentation needed to secure and maintain funding and grants. Ensures that grants and contracts adhere to organizational standards. Acts as department expert and primary point of contact on funding issues and disputes. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

  • Demonstrated knowledge of Federal regulations related to research administration, including OMB Uniform Guidance, Cost Accounting Standards and Federal Acquisitions Regulations (FAR).

  • Oversee the submission of proposals for an assigned portfolio of departments, faculty and researchers.

  • Submissions will be made to various Federal agencies, Foundations, and Industry sponsors.

  • Working with submitting Faculty to develop proposal budgets, review funding proposal instructions, and set up a process to collect all documents and meet sponsor and ORA deadlines. Work as a liaison between faculty and central/compliance offices.

  • Participate in submission of annual progress reports such as: NIH RPPRs via ERA COMMONS.

  • Assist faculty with post award activities including: preparation and interpretation of reports, forecasting, effort distribution and certification.

  • Provide guidance on allowable and unallowable expenditures at both the budget stage and the post-award expenditure stage.

  • Works directly with the Office of Research Administration and Faculty to submit various non funded sponsored agreements: data use, material transfer, NDA, no cost extensions, and amendments.

  • Provide oversight and submission of sponsor materials such as: JIT documents, post submission materials requests, PRAMs, biosketch reviews and development of other supporting documents for Faculty.

  • Oversees a portfolio of assigned faculty for post award activities including the following: preparation and interpretation of reports, financial forecasting, effort distribution and certification. Provide guidance on allowable and unallowable expenditures at both the budget stage and the post-award expenditure stage.

  • Review and approve requisitions, expense reports and purchase orders for assigned sponsored projects within Workday.

  • Meet regularly with faculty and be responsive to communication and requests with faculty.

  • Maintain access to all UMIAMI financial systems such as: IBIS, Workday, Velos.

  • Complete mandatory ORA Research Administration onboarding and training to keep access.

  • Other ad hoc reporting and project assignments as needed from Executive Dean of Research Leadership.

  • Must be meticulous and detailed oriented.

  • Must be able to write and communicate well.

Education:

Bachelor’s degree in relevant field

Experience:

Minimum 7 years of relevant experience.
