JOB REQUIREMENTS: Business Operations and Grants Management Specialist-Arts and Sciences Position Overview: The Business Operations and Grant Management Specialist for the College of Arts & Sciences is responsible for assisting with day-to-day fiscal operations and grants management for the College. Provides expertise to faculty with post award grants on financial procedures, budget preparation and review, analysis of financial reports and preparing yearly incentive account summary reports for faculty. Manage endowment accounts, gift accounts and other revenue streams, and salary and operating budgets. Submit/approve salary authorizations, expense statements and purchase orders. Serve as liaison to Office of Research and Sponsored Programs, Accounts Payable, and Comptroller's Office for faculty and staff. In conjunction with the ITS Technical Support Staff, manage the strategic deployment of the Computer Replacement Program (CRP). Requires ability to work independently and maintain confidential information. Must perform all functions in a timely manner and have the quality of work reflect excellence. Duties and Responsibilities: 1. Serve as liaison for the Office of Research and Sponsored Programs. Provide post award (internal and external) grant funding support for faculty, including resolving financial discrepancies, interpreting financial reports and grant year end reviews. Review Post Award grants in Kuali Grants Management Database for accuracy, salary authorizations and budget requirements. 2. Develop preliminary budgets on external grants for first quarter budgeting. 3. Process salary authorizations for graduate assistants and faculty. 4. Reconcile unrestricted accounts in the College. Implement fiscal controls as defined by university policy and funding agencies. 5. Manage F&A incentive award accounts from grants and provide yearly summaries to faculty including fiscal restrictions. 6. Process purchase orders and reimbursements for College Office. Approve credit card and expense reports for select faculty and staff across the College. 7. Provide support and training for staff and faculty on University Policies and Procedures as necessary. 8. Review labor distribution reports for accuracy of costing, account numbers, and payment. Submit issues/errors to payroll for corrections. 9. Work with ITS Technical Support Staff, manage the strategic deployment for the College Computer Replacement Program (CRP). 10. Manage Coupa license assignments and provide support to faculty and staff on MARQetplace implementation. 11. Develop documents, review and update College policies 12. Attend Finance Partners meetings and ORSP process improvement meetings 13. Assist with College special projects as requested 14. Assist in the "onboarding" of new employees in the College 15. Perform other duties and responsibilities as required, assigned, or requested. Minimum of 3 years of experience in financial management, with exposure to grant funding and budget development. Microsoft Office business suit Oracle e-Business suite Kuali Grants Management system Business Intelligence reports Preferred Knowledge, Skills and Abilities: Demonstrated ability to organize and maintain accurate records, attention to detail. Ability to work under pressure and meet required deadlines. Excellent oral and written communication skills, interpersonal skills, multi-tasking abilities, and the ability to deal with diverse constituenci s. Strong computer competency, to include proficiency in Microsoft Office Professional Suite, demonstrated proficiency in the advanced features of Excel, Oracle E-Business Suite Applications, and Kuali Grants Management Database. Excellent analytical and problem-solving abilities Self-starter, ability to work independently and take initiative as needed. Understanding of the higher education or nonprofit environment. Ability to be collaborative with others, building relationships across campus.
