The person in this position is expected to work during normal business hours, Monday through Friday. The Office of the Vice Provost for Faculty and Academic Affairs provides a hybrid work environment allowing staff members to work from home on certain days of the week except during times that require an on-campus presence. Office Management (35%) Maintain office budget records and expenditures. Write quarterly budget reports. Manage all office and program related procurement. Manage the vice provost's calendar and associate vice provost's calendar as needed. Work responsively with Facilities Management, Information Technology, internal and external vendors, and other units within the Office of the Executive Vice President and Provost. Coordinate staff meetings and VPFAA meetings, and manage the unit calendar of events and communications. Project Management and Events Coordination (35%) Manage ongoing projects and coordinate events associated with Faculty and Academic Affairs. In collaboration with Provost's Office staff, manage event logistics (venue, catering, volunteer/student/staff coordination, budget, program/materials, communications) for University-sponsored programs such as New Faculty Orientation, the annual promotion and tenure reception, faculty and department executive officer development program events, PALS year-long department executive officer training program, Academy of Distinguished Teachers workshops/conferences, the new dean's leadership program, the Unit Service Award, Women's Faculty Cabinet forums/retreats, and the Big Ten Academic Alliance Academic Leadership Program. Communications (20%) Provide primary communications expertise to the office, including correspondence, memos, web content, and constituent mailings. Prepare mass communications from VPFAA to faculty and college administrators using Salesforce Marketing Cloud. Serve as primary point of contact for the office; handle correspondence with deans, heads of academic units, and faculty as needed; handle correspondence and production of materials (brochures, handouts, flyers) and meeting records for the office. Maintain all VPFAA web content and design elements in Drupal Enterprise 8 and Drupal Lite. Records Support and Management (10%) Provide technical support for policies related to faculty affairs, to include 7.12 promotional statements systemwide and Request for Outside Commitment (ROC) forms. Work with faculty and administrators to maintain associated records. Support the Works faculty information system implementation team as needed. Maintain contact list and manage list sharing. Qualifications REQUIRED QUALIFICATIONS: BA/BS degree, or a combination of related education and work experience to equal four years, preferably in a higher education setting or related field. PREFERRED QUALIFICATIONS: Strong record of building effective relationships across differences and a commitment to advancing diversity, equity, and inclusion. Excellent written, verbal, and interpersonal skills. Strong organizational and project management skills, including the ability to manage multiple demands. Demonstrated flexibility and integrity in complex and confidential situations. Experience working collaboratively both in-person and remotely. Familiarity with advanced spreadsheet functionalities, advanced Google G Suite software knowledge. Experience building, maintaining, and updating websites using Drupal Lite or Drupal Enterprise. Knowledge of the University of Minnesota.
