Activities of the Business Office include: Interpreting policies and procedures, processing accounting transactions and documents, budgeting, financial reporting, payroll accounting, managing sponsored and non-sponsored research projects, and oversight of purchasing. Position Overview: The Finance Professional 1 is responsible for general financial oversight within the School of Nursing (SoN), with specific areas of responsibility to include non-sponsored accounting and processing non-sponsored accounting transactions. This is a 100% time position reporting to the Finance Manager. This is a civil service position governed by the Civil Service Rules at the University of Minnesota. The working location is hybrid. Job Duties/Responsibilities: Financial Reporting and Budget Management: (35%) As unit Financial Professional, responsible for monitoring activity for assigned accounts and reconciling accounts for fiscal compliance with financial, reporting, and legal requirements. Review and analyze financial transactions for assigned budgets based on funding availability and U of MN policies using the PeopleSoft EFS financial system. Reconcile resources and expenses to the ledger, audit for errors, investigate discrepancies, and prepare correcting journal entries. Assist School of Nursing personnel with understanding their financial data using the various reporting resources. Maintenance of chartstring descriptions (masking) are referenced in the PeopleSoft EFS financial system and PI mapping is completed. Assist with annual budget entry and fiscal year-end closeout processes. Shared responsibilities with other business office staff including, but not limited to, processing journal entries, departmental deposits, and wire transfers. Financial Transactions: (30%) Preparer or a backup preparer as assigned for selected financial transactions for School of Nursing and Center of Spirituality and Healing. Journal entries for year-end adjustments, transfer in/transfer out entries, budget journals, and a resource for interpretation and policy related to transactions. Administer student financial aid and scholarships in EFS, including researching/resolving issues and ensuring authorizations are in place before aid is given. Advise faculty and staff on student payments. Payroll Accounting: (15%) Meet quarterly with faculty to assist with monitoring non-sponsored funds. Monitor default payroll chartstring on a biweekly basis. Research any balances and clear to appropriate budget(s) to ensure the default budget is cleared. Maintain Nursing Appointment Request (NAR) form and send out NAR links to faculty. Enter distribution changes in HRMS and on internal documents as requested. Calculate and enter salary adjustments on a timely basis (Retro distributions) as requested. Procurement Card: (5%) Serve as the backup monitor for PCards for cluster 010. Problem solve with Executive Accounts Specialist and SoNBO staff. Assist with maintaining the internal PCard process documentation and manual. Vouchers: (5%) Serve as the backup voucher processor for Cluster 010. Problem solve with Executive Accounts Specialist and SoNBO staff on vouchers. Assist with maintaining the internal voucher process documentation and manual. Chrome River Navigator: (5%) Chrome River Navigator - assist staff and faculty with Chrome River Pre-Approval and expense reports. Partner with Dean's assistant to ensure Travel Card is reconciled properly and timely. Review and update the Dean's Chrome River expense reports prior to submission. Other: (5%) Maintain electronic files for internal business office processes and training materials. Attend and contribute at School of Nursing meetings. Actively participate in professional development opportunities within the SoN, as well as attend U financial training or conferences (e.g. Training Hub, FSUN and GMUN). Other duties related to the business office as assigned. Qualifications Required Qualifications: Bachelor's Degree or a combination of related education and work experience to equal 4 years. Experience with financial budget analysis, forecasting, reporting, oversight monitoring for compliance with regulations and policies. Experience with financial systems such as EFS-Enterprise Financial Systems. Work is performed under general supervision. Progress and outcomes are frequently observed/reviewed. Problems tend to be limited scope complexity. Problems can be quickly and relatively easily resolved. Demonstrated ability to provide customer service and to interpret and explain financial information to non-financial personnel. Highly organized, detail oriented, analytical skills, and experienced in managing multiple projects in a fast paced environment Proficiency using Microsoft Excel. Preferred Qualifications: Bachelor's Degree in accounting and 3 years of professional accounting experience. Experience with University of Minnesota systems including EFS, HRMS, and UM Analytics. Experience with non-sponsored and sponsored project accounting, and familiarity with GASB accounting policies and procedures. Experience processing payroll including salary corrections. Experience processing financial transactions in PeopleSoft.
