Job ID360039 LocationTwin Cities Job FamilyLR-Clerical Full/Part TimeFull-Time Regular/TemporaryRegular Job Code1885 Employee ClassAFSCME Unit 6 - Clerical About the Job Full-time temporary, one-year position The Human Resources (HR) Coordinator works closely with the Morrill Hall Shared Services HR team to coordinate, support, and process HR activities related to student workers within the units served by the MHSST. The HR Coordinator coordinates the recruitment, hiring, and onboarding processes, completes data entry for payroll, and supports the entry and auditing of the HRMS system. The HR Coordinator possesses integrity, demonstrates good judgment, and is discreet in sensitive and confidential matters. The position requires strong organizational skills, excellent collaboration skills, and a person who enjoys working in a fast-paced environment. This is a 100%, temporary one-year position (Job Code 1885, Executive Office and Admin Specialist). Job Duties: PeopleSoft/HRMS Operations and Data Entry (50%): Ensure overall data integrity in PeopleSoft by updating appointment data and documenting key HR processes in a timely manner (i.e., hires, terminations, transfers, position management rollovers, payroll, etc.). Run queries, and reports, and verify pre-payroll and payroll abstracts for student/temporary/casual hourly employees within assigned units. Resolve payroll discrepancies, such as notifying employees of under or overpayments and initiating the collection and/or reconciliation process. Request off-cycle paychecks as appropriate. Disseminate information to appropriate supervisors and finance staff. Review payroll accounting information to ensure active chart strings exist and work with unit finance partners for processing and approving any type of retro distribution when needed. Assist with Fiscal Year end timeline cleanup as needed when working with the Unit finance representatives. Coordinate Student Worker Recruitment and Hiring (40%): Manage hiring process for all student and temporary/casual employees for 36 units to include working with and discussing appropriate hiring policies and procedures and recommending recruitment strategies. Advise supervisors on effective recruitment, hiring, and promotion processes requiring communicating with them on a frequent basis. Provide direct support to hiring authorities on any or all aspects of hiring for student and temp/casual hires, such as developing position descriptions, verifying job classifications, creating job openings on the employment website, maintaining hiring files, updating Recruiting Solutions throughout the hiring process, ensuring hourly pay offers maintain internal equity, coordinating background checks, and onboarding new employees (to include I-9 Verification employment eligibility). Meet with students in-person to view their I-9 work authorization documents. HR Auditing, Scanning (10%): Run regular reports to check HRMS Data Exceptions. Audit appointments in HRMS for entry accuracy and identify primary, secondary, and affiliate/adjunct appointments. Audit Position Management on a regular basis to ensure correct reporting structures, FTE changes, and classifications. Maintain job data integrity in HRMS by conducting routine audits and analyzing data; ensure that changes are incorporated to ensure system compliance. Use Perceptive Content to scan and save documents online. Perform various other HR projects as assigned. Salary range: $21.84 - $25.01 depending on experience. Work Mode: Hybrid, remote and in-person (expected to work on-campus two days per week) Qualifications Required Qualifications: * High School Diploma/GED equivalency and four (4) years related office experience; training/education may be substituted for some years of experience * Strong computer skills including in-depth knowledge of Excel * Strong attention to detail * Demonstrated experience effectively communicating verbally and in writing * Demonstrated commitment to actions and activ ties that promote diversity, equity, and inclusion Preferred Qualifications: * Familiarity with the University of Minnesota, a comparable academic institution, or a mission-driven organization of equal complexity * Knowledge of and/or experience with payroll/accounting processes and recruitment and hiring processes * Familiarity with PeopleSoft HRMS or other HR management systems * Experience working effectively in a collaborative team environment * Excellent interpersonal skills * Ability to handle multiple tasks simultaneously and adhere to strict deadlines About the Department The mission of the Morrill Hall Shared Services Team is to deliver finance and HR service excellence to the departments that we serve-accomplished through accountability, best practices, communication, diversity and inclusion, integrity, and respect in all that we do.
