JOB SUMMARY of ESSENTIAL FUNCTIONS:

Provides operational, project, training, technical, and administrative support of a complex nature for all aspects of the Clinical Department(s) and leadership. Coordinates, facilitates, promotes, and assists departmental processes including employee on-boarding, organization-wide education, clinical and non-clinical staff development, new and existing staff education & training programs, regulatory compliance programs, and learning management system processes. Functions as back-up system administrator for the organization’s Learning Management System (LMS). Functions as back-up Patient Advocate to support the patient grievance process.

Assists in organizing and coordinating schedules, activities, classes, and meetings. Participates in conference calls and meetings, prepares written reports and oral presentations, and assists with project timelines. Provides support to standing and ad hoc committees and other groups as assigned.

REQUIRED EDUCATION, TRAINING AND EXPERIENCE; CERTIFICATION/LICENSURE:

Bachelor’s degree or equivalent combination of education and experience. Minimum of two years’ experience working in an administrative capacity. Previous healthcare experience preferred.

SPECIAL EQUIPMENT, SKILLS OR OTHER REQUIREMENTS:

Excellent written and verbal communication skills; interpersonal and organizational skills. Efficiently and effectively organize, plan, document and support various teams, projects, and committees. Communicate effectively verbally and in writing. Must be versatile, cooperative, self-motivated and have great customer service skills. Adapt to a flexible work schedule to include early morning, or evening meetings and/or activities, to include occasional weekends. Demonstrated ability to handle confidential information and conduct job functions in a professional manner.

WORK ENVIRONMENT AND HAZARDS:

Adheres to all State and Federal regulations pertaining to hazardous waste, materials and BBP. Works in an office environment and operates computers, copy machines and other office equipment. Risk of exposure to communicable diseases.

WORK CONTACT GROUP:

All departments, visitors, vendors, patients, regulatory agencies, other hospital and healthcare personnel.

SPECIAL PHYSICAL DEMANDS :

Position requires continued hours of sitting and/or standing and operating a personal computer. Ability to work irregular hours on occasion.

Chief Nursing Officer

ESSENTIAL FUNCTIONS/TECHNICAL

  • Assists with the development and maintenance of project plans (quality, performance, education, etc) to monitor and track progress. Provides research, prepares data, monitors timelines and follow-up. Ensure these are used to control the successful delivery of projects.

  • Provides support by maintaining and coordinating clinical leader’s calendars, day-to-day activities, classes, and meetings. Provides clerical support, as requested.

  • Schedules all meetings, notifies and reminds participants of meeting dates, gathers information for, prepares and distributes packets, takes meeting minutes, transcribes, and distributes minutes. Maintains minutes and documentation of committee activities, to include action plans with defined responsibilities, target dates and oversight of unresolved items.

  • Assist in data collection for performance improvement and other initiatives. Maintain reports for all data collected and manage databases.

  • Assists Enterprise Administrator with strategies for implementation of new courses, tools, processes, LMS maintenance, etc. and manages day-to-day activities within the LMS at the Monroe hospital campus. Duties may include inbox, course, and user management.

  • Identify and enact opportunities for process and quality improvements, providing feedback on usage, defects, and suggested enhancements to Enterprise Administrator including providing expertise and support to LMS users, identification, and validation of course improvements, and LMS content migration. Assist in building the appropriate level of technology support processes to help education initiatives.

  • Maintains existing recurring education programs including but not limited to; ACLS, BLS, PALS, NRP.

  • Assists with documentation and ongoing compliance with all state, federal and accreditation regulations.

  • Provides a wide range of typing assignments, maintaining excel spreadsheets and creation of presentations, as requested.

  • Assists in devising and maintaining department standards/procedures to ensure adherence to organizational policies, to include but not limited to, certification and educational requirements.

  • Assists with the preparation of department timecards to ensure accurate recording and documentation to allow timely approval by department leader.

  • Provides assistance with hospital and community events, as requested.

  • Other duties as assigned.
