General Job Description

This is a professional position responsible for performing highly technical or administrative work in an academic unit led by a dean. Responsible for coordinating special activities and planning, organizing, and performing a wide variety of administrative activities. May require supervision of one or more clerical assistants in carrying out the details of the work and may require extensive interaction with students. Operates personal computer using word processing, database, spreadsheet, and other university-specific software. Responsible for communicating with other university or state agencies and the general public. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the dean.

Essential Job Functions

  • Assists dean in development of departmental policies and procedures.

  • Interprets policies and explains procedures relating to departmental activities.

  • Organizes and maintains a daily schedule of appointments and coordinates meetings for the dean.

  • Schedules and/or attends staff meetings, assists with follow-up on specific assignments, and prepares minutes as needed.

  • Assists with coordinating and completing special projects.

  • May handle cash and cash receipts for the office in accordance with university policy.

  • Monitors departmental funds and maintains departmental accounting.

  • Supervises assigned dean’s office personnel and student assistants.

  • Creates electronic personnel action forms (EPAFs) for actions related to departmental employees.

  • Prepares correspondence and documents for submission to other university/college administrators and various state agencies.

  • Uses a high level of skill in the preparation of reports, special studies, and similar documents.

  • Compiles statistical data and prepares various studies of departmental activities.

  • Maintains departmental records of vacation/sick leave and prepares monthly report; approves non-exempt hours in timekeeping system.

  • Assists in revising college catalog and other curriculum revisions.

  • Oversees inventory and purchases supplies.

  • May act on dean’s behalf in the temporary absence of the dean.

  • May assist in providing information related to departmental functions.

  • May complete curricular information, academic maps, and articulation agreements where applicable.

    Non-Essential Job Functions

  • May receive and/or supervise the receipt of payments from student and others for departmentally sponsored activities.

  • May represent the department on various university committees.

  • May instruct or supervise others in computer usage.

  • May be involved in screening and evaluation of applicants for departmental clerical positions.

  • May assist with registration.

  • May provide support for university events on occasion (Showcase Saturdays, orientation, etc.).

  • Performs other related duties as assigned.

  • Ability to learn office- and university-specific software.

  • Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.

  • Ability to maintain effective interpersonal relationships.

  • Ability to communicate effectively in both oral and written form.

  • Ability to work with and maintain confidential information.

  • Ability to work events, evenings and weekends as necessary.

    Physical Demands

    Required Education

High school diploma or equivalent is required.

Required Experience and Training

Five years of related experience is required. Experience in general office practices and procedures is required. Experience in use of computer software (word processing, database, and spreadsheet applications) is required. Experience handling confidential information is required. Candidates who do not meet the experience requirement but have a Bachelor’s degree in a related field may also be considered on a basis set forth by the Department of Human Resources.

Preferred Qualifications

Bachelor’s degree in a related field is preferred. Supervisory experience is preferred. Experience in higher education is preferred.

Special Conditions for Eligibility

This is a security-sensitive position subject to criminal record check.

This position is eligible for participation in the Teacher Retirement System of Texas ( TRS ) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
