Position Description

The Administrative Services Officer 2 position performs administrative duties involved in a variety of services essential to operation of the Metropolitan Beer Permits Office. Performs related duties as required.

Typical Duties

Assists with administrative operations of the Metropolitan Beer Permits Office including:

  • Resolves difficult and complex administrative or customer service problems.

  • Fields phone calls and walk-in customers and determines the types of services needed by the public.

  • Handles complaints and inquires by phone, email or in person, and resolves problems.

  • May assist with HR functions including payroll and position transactions.

  • May prepare and process various financial information.

  • Reviewing and processing invoices.

  • Accepts all payments related to operations of the Metro Beer Permits Office.

  • Balances collected revenues (cash, check, cc, and money orders) to permits issued daily in Cityworks and all other related financial systems.

  • Reconciles accounts/permits if out of balance.

  • Trains customers how to use the online permitting system.

  • May participate in development of budget estimates and justifications.

  • Prepares requisitions and approve purchase orders, and other related procurement tasks, including but not limited to supply procurement.

  • Researches administrative problems and recommends solutions.

  • Prepares various statistical reports relating to tracking and solving specific and general organizational and operational problems.

  • Organizes and maintains files and reports.

  • May compose letters, memorandums, and related documents.

  • Assists with the administrators or manager as needed.

  • Maintains liaison with administrative personnel in other departments to facilitate efficient operation of the department.

Minimum Qualifications

EDUCATION AND EXPERIENCE

Bachelor's Degree plus one (1) year experience in an administrative, financial, technical, or related field.

*Additional experience may be considered in lieu of education. (1:1 Ratio)

LICENSE REQUIRED

Valid Driver License

Candidates with accreditations earned in a foreign institute are encouraged to apply.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Preferred Experience, Knowledge, Skills, and Abilities

  • Experience with Microsoft Office Suite

  • Experience with CityWorks and/or ePermits software programs
