Summary
The Administrative Assistant role supports the Commercial and Business Banking Divisions of the Middle Tennessee Market. The incumbent in this position provides sales management reporting, supports the execution of employee engagement activities and events , client entertainment and education events general and clerical administrative support such as calendar management, expense management and special projects as needed to support the commercial leadership team.
Role Objective
Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Key Responsibilities Include
Calendar and Phone Management
Manage Outlook Calendar, scheduling all Weekly, Monthly, Quarterly and Annual Meetings and One-on-One’s
Work with team to schedule Loan Deal Meetings
Proactively manage scheduling conflicts
Maintain contacts in Outlook
Financial Report Preparation and Management
Strong command of Microsoft Office Suite (i.e. Excel, PowerPoint, etc.) required
Compile financial information from multiple sources for Weekly, Quarterly, Monthly and Annual Meetings
Prepare PowerPoint presentations, and Excel Spreadsheets for Internal and Division Meetings
Update internal documents when Financials have been updated monthly
Sales Management
Prepare all meeting materials and presentations for Weekly, Quarterly, Monthly and Annual Meetings
Arrange for Meeting accommodations: Facilities, Catering, Technology, Materials, and coordinate logistics with presenters and Leadership
Act as Commercial LOB Liaison to all internal / external speakers
Research all systems for client and prospect information via Salesforce/RMS and BSE applications
Support Relationship Management Team on any client issues, and account reassignments on Salesforce/RMS application
Client Engagement / Entertainment
Work with Marketing, Business Banking and Commercial Team to maximize utilization of all tickets for Entertainment, Community and Sponsorship Events
Maintain log of Client Event ticket Allocations, and Suite food orders and ticket ordering
Manage subscriptions to periodicals
Employee Engagement
Take the lead on all new employee onboarding and orientation, including but not limited to, Systems Access, Facilities Access, Office Equipment and Supplies, Orientation Calendar, Corporate Card, etc.
Track Vacation reporting for all Commercial LOB
Assist with Team Building Activities on a quarterly or bi-annual basis, recognition events and celebrations; Birthdays, Anniversaries and Life Events
Organizational Chart Maintenance
Office Management & Expense Management
Manage expense report in a timely manner to avoid any fees
Maintain all Commercial Distribution Lists
Back up other Administrative Assistants as needed
Liaison with internal partners for office and facilities issues
Office Supplies Management
Qualifications Include
Bachelor's degree preferred
5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Ability to communicate effectively and professionally.
