Summary This Lead Medical Support Assistant (LMSA) position is in the Office of Community Care of the Southeast Louisiana Veterans Health Care System located in New Orleans, Louisiana. The primary duties of the Lead Medical Support Assistant (LMSA) may include but are not limited to: Assuring coverage of all areas of responsibility. Conducting ongoing reviews to ensure quality of work. Ensuring accurate and timely scheduling of community care referrals. Providing guidance to staff members to include changes in policies and procedures. Distributing and balancing workload. Creating and maintaining employee work assignments/schedules. Orienting and providing on-the-job training for new and current employees. Keeping up with newly released trainings, ensuring all training requirements are met with staff. Organizing the work structure of his/her assigned areas. Acting as liaison between the Supervisory MSA and staff in order to resolve day to day conflicts within the service. Working collaboratively with other members of expanded health care teams (i.e. PACT, specialty care & other health system stakeholders) including Non-VA Care providers, pharmacists, social workers, dieticians, behavioral health staff, etc. to provide a robust interdisciplinary approach to care coordination. Typing, filing, data entry, scheduling appointments and tests. Ensuring transfer of medical records from and to the VAMC and other facilities. Ordering office supplies and necessary forms. Scheduling patients' appointments and/or consults. Tracking patients' appointment status in the community and maintaining spreadsheets to validate data tracking. Making follow-up (post-care) calls on a daily basis. Completing electronic forms for cost estimate/payment of community medical care by the VA. Verifying and updating demographics and insurance information. Researching and maintaining an updated database of community medical services to assist Veterans with locating medical care in the community. Assisting with processing all emergent and non- emergent consults for medical care in the community. Contributing in team huddles and meetings to manage and plan patient care. Setting priorities and deadlines; adjusting the flow and sequencing of the work to meet team and patient needs. Working with the team to reinforce the plan of care and self- help solutions and entering appropriate information into the electronic record. Monitoring pre- appointment requirements to assure readiness for patient visit/procedure (e.g. X-ray, lab work). Participating and providing input in problem-solving on operational issues or procedures in team meetings. Performing administrative follow-up actions; independently following up on team huddles by escalating information and collaborating with the medical team to assure continuity of care. Educating providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider. Work Schedule: Typically Monday-Friday, 7:30 a.m.-4:00 p.m. CST; the work schedule will be discussed during the interview process and is subject to changed based on Agency needs. (1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Certification. None required. Grade Determinations. Lead Medical Support Assistant, GS-07 (a) Experience. One year of experience equivalent to the GS-06 grade level which includes: Collaborating with medical clinicians across multiple disciplines, scheduling interdisciplinary appointments, and possessing an advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community OR Providing staff development and training, delegating responsibilities/assigning workload to other staff members, following up on issues, and reviewing and monitoring data to ensure reports are complete and accurate. (b) Assignment. The Lead MSA is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources. Assignments at this level include but are not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts. (c) Demonstrated Knowledge, Skills, and Abilities (KSAs). In addition, you must demonstrate ALL the following KSAs in your resume: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. Preferred Experience: 2 years of VHA experience. Strong organizational skills. Appointment scheduling experience. Experience with general administrative/clerical software systems. Work Environment: Work is performed in an office/clinic setting with minimal risks that requires normal safety precautions; the area is adequately lighted, heated, and ventilated. However, the work environment requires someone with the ability to handle several tasks at once in sometimes stressful situations.
