The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Senior Associate Director, the incumbent is responsible for assisting with reception services, administrative support and special projects, as needed, and running the School’s reciprocity program, and managing production of the online resume database, working with students, recruiters, and the software vendor.
Responsibilities
Helps to coordinate Reception Area; Greets all visitors to Career Management; keeps informed in advance of recruiting events, appointments, and meetings to provide appropriate greeting and direction, and assists with the orientation of new recruiters. Helps to coordinate busy CMC corporate client and visitor calendar.
Fields questions from students on phone/walk-in to office (back-up for colleagues when out and assists when there is multiple calls/walk-ins). Acts as a liaison to students needing assistance with the various functions of the office, troubleshooting problems and resolving difficulties that arise. These include issues surrounding room reservations, resume database, and the reciprocity program, in particular.
Coordinates MBA student submissions resume database, occurring in August, September, February, May, and as needed. . Responsibility for contacting students to submit as well as reviewing resumes for Columbia Business School format. Works closely with Executive Director, Career Education & Advising and Senior Associate Director to ensure accuracy and timeliness of production. Liaises with software vendor as needed and appropriate
Monitors and reviews student resumes after three student resume book databases are released to ensure resumes are up-to-date and in the Columbia format. In addition, monitors and reviews resume book requests from recruiters, confirming that these are approved organizations that may access databases. Reviews policies for inclusion in resume book and various releases with Executive Director, Employer Relations, annually.
Provides and receives letters of reciprocity for approximately 40 peer institutions (domestic and international), arranging for CBS student use of other institutions’ facilities and the use by peer schools’ students of CBS facilities and resources.
Assists with identifying and capturing relevant job postings from public job boards for dissemination to students.
Assists with related duties upon request and when necessary.
Minimum Qualifications
High School Diploma and/or its equivalent required. Minimum of three years related experience, or the equivalent combination of education and experience required.
Must have demonstrated strong interpersonal, organizational, written, and oral communication skills. Must have demonstrated strong customer service focus with the ability to interact in a professional manner with all levels of faculty, students, and staff in a fast-paced environment. Must have a demonstrated ability to work with changing priorities in a busy environment. Ability to work as part of a team and work independently as necessary. Strong computer proficiency with Windows, MS Word, Excel, and PowerPoint is required. Ability to use scanning software and knowledge of the Internet necessary. Strong typing skills are required. Overtime may be required during peak periods.
