The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryReporting to the Associate Director, and working collaboratively with other members of the School, the Operations Analyst ("Analyst") is a key member of the Administrative Affairs team supporting data collection, and reporting and for the School through research, coordination, and process improvement. The Analyst will provide substantive support for administrative affairs business operations processes including data gathering, market research, documentation, visualization, and governance implementation to support key School needs and goals.ResponsibilitiesAdministrative Affairs Data Management- 60%- Conduct market research on all degree and non-degree programs through a competitor analysis that is updated annually- Maintain program distribution lists for all 18-degree programs, with university and institutional contacts- Support the Associate Director on the creation of dashboards and reports needs of senior leadership- Produce data visualization for administrative affairs reports and presentations using Excel, Tableau, or alternative data visualization softwareBusiness Operation Process Assessment and Improvement- 15%- Implement quality assurance systems and operational policies and practices that identify service level inconsistencies while working closely with counterparts in Facilities, IT, Media and Creative Services, HR, Finance, and Events- Coordinate submission of grant proposals and budgets with Finance and Sponsored Projects Administration by actively pursuing knowledge about grant funding policies, regulations, and procedures; University policies and procedures; risk and compliance issues by participating in relevant training opportunities- Responsible for various processes and liaison with other units such as Human Resources, research support, financials, data management and communication- Manage documentation, to organize records of SPS reports and operational processes to maintain institutional knowledgeCoordination and Administrative Duties - 10%- Coordination of administrative operations updates and process changes between units of the Administrative Affairs team and overseeing adherence and compliance tracking to implementation and identifying any barriers teams are having- Works with directors and department heads to learn of department needs and goals- Ensuring daily operational excellence and a high level of detail in all areas of Administrative Affairs operationsPerforms other duties and special projects as assigned or requested - (15%)Minimum Qualifications- Bachelor's degree and/or equivalent experience required- Two years of related experience required- A resume and cover letter with salary requirements must be submitted for applicant to be considered for the positionPreferred Qualifications- Experience working in higher education- Self-motivated and have creative problem-solving skills- Familiarity with data software systems such as PowerBI and TableauOther Requirements- Must be a strategic thinker and detail-oriented, with a collaborative style that encourages teamwork and cooperation- Strong interpersonal, organizational, and oral and written communication skills required- Must be experienced with Excel with knowledge utilizing advanced functions such as VLOOKUPS, concatenation, pivot tables- Must have the initiative and ability to start and complete projects with minimum direction as well as the ability to work as part of a team- Demonstrated ability to handle multiple priorities and work under deadlines requiredEqual Opportunity Employer / Disability / Veteran Columbia University is committed to the hiring of qualified local residents.
