BlackRock is seeking a dynamic and enthusiastic Administrative Professional to support leadership members of the Global Product Solutions (GPS) Group in New York. The candidate must have deep experience supporting senior management with global responsibilities in a fast-paced environment. The candidate should be a team player, extremely motivated, resourceful, organized, and able to maximize managers time by completing tasks independently with strong attention to detail.

This role is responsible for providing administrative support to several Managing Directors within GPS in New York. This is a fast-paced business which requires the ability to work independently as well as part of a collaborative team and the foresight to raise issues when appropriate. The role will report into a senior level Administrative Business Lead within GPS.

Responsibilities

  • Managing complex schedules, anticipating the needs for each meeting, and providing required materials, preparation, and transit time.

  • Coordinate and liaise with internal technology team to ensure MD is fully covered and supported with all technology needs, submitting ServiceNow tickets on their behalf if needed.

  • Coordinate domestic and international travel arrangements and submit expenses in a timely manner, via Concur.

  • Collaborate and partner with other administrative assistants in GPS to ensure appropriate cross-region collaboration and team coverage as needed. Build relationships and partner with other assistants across the firm.

  • Help support visiting senior executives while in local office.

  • Plan a variety of executive level meetings (virtual and in-person): reserving conference rooms, catering, multimedia, and other essential meeting services.

  • Willingness to help with ad-hoc projects as bandwidth allows.

Qualifications and Requirements

  • Minimum 5-7 years of administrative or analyst experience in a supporting role that interacted with clients and executive level management, preferably in the financial services industry.

  • College degree or equivalent experience required.

  • Ability to be onsite in the primary office location a minimum of 4 days per week, ability to travel if needed.

  • Willingness to be accessible outside of agreed working hours on an ad-hoc and limited basis.

  • Proficient in Outlook, MS Word, Excel, and PowerPoint.

  • Experience working on Concur and ServiceNow preferred.

  • High level of poise and professionalism as role requires interface with senior executives of the firm.

  • Strong analytical, interpersonal and communication skills (both written and verbal), excellent phone manner.

  • Strong time management skills, ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high-pressure environment.

  • Excellent organizational skills with strong attention to detail.

  • Self-starter with the ability to work independently and with minimal guidance.

  • High energy level and ability to perform in a fast-paced environment under highly demanding conditions.

  • Ability to maintain confidentiality of information related to the company and its employees.

For New York City only: The salary range for this position is $0 - $0 which is the equivalent of $0.00 - $0.00 per hour. Additionally, employees are eligible for an annual discretionary bonus, and benefits including heath care, leave benefits, and retirement benefits.
