The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Department of Biomedical Informatics (dbmi.columbia.edu) at Columbia University Vagelos College of Physician and Surgeons is one of the largest and oldest informatics department in the nation, with a stellar record of education, research, and impact in patient care. The department is growing its master's program and is seeking a Graduate Program Manager to independently manage the master's and other educational programs. This position reports to the Department Administrator and the Graduate Program Director.

The Graduate Program Manager is responsible for the life cycle of the recruitment and admissions processes, coordinating educational programs, advising students, and other related activities. The incumbent will independently coordinate the departmental educational initiatives including biomedical informatics master's program, MD/MA program, training grant postdoctoral fellowship, clinical informatics fellowship, health informatics technology (HIT) certification program, and summer bootcamp.

Responsibilities

Administers Student Recruitment to Graduation Lifecycle Activities:

1. Evaluates and prepares applications for review, schedules and coordinates applicant/faculty interviews, coordinates and attends admissions meetings, processes decision in online systems.

2. Tracks program metrics and student milestones (core courses, depth exam, degree milestones; creates and maintains a database to keep track of student status to ensure compliance with degree requirements and provide reports to the Graduate Program Director as needed.

3. Serves as a liaison and advocate for students regarding other University offices to continually guide students from recruitment to graduation (e.g., admission requirements, degree requirements, and campus policies/procedures.)

4. Works with various offices at Columbia to facilitate the smooth operation of the program and the student experience. These offices include the Registrar, Financial Aid, Office of Graduate Affairs, International Student and Scholars Office, etc.

5. Acts as the first point of contact for responding to student and program inquiries.

6. Actively participates in DBMI training committee; develops agendas and keeps minutes.

Supporting Courseworks Activities:

7. Handles academic course arrangements, including scheduling courses, submitting courses for approval, reserving classrooms for all courses, ensuring courses are posted on the directory of classes, assists faculty with CourseWorks setup, grade submission, class rosters, and compiles evaluation reports and distributes to faculty and staff.

8. Interfaces with industry to coordinate capstone projects and other curricular activities.

Event Planning and Coordination:

9. Coordinates Research Seminars: Handles meeting agenda, hotel reservations, speaker travel arrangements, expense reimbursement, and honorarium payments; announces weekly seminars, student preliminary examinations, doctoral defenses, and other events.

10. Assists with operational elements of event planning, including securing event space, catering, and coordinating students for events such as orientation, retreats, town halls, and career fairs.

11. Promotes the educational programs at community events and scientific conferences.

Other Administrative Responsibilities:

12. Tracks and maintains a positive relationship with DBMI alumni.

13. Assists with maintenance of trainee and alumni email listservs.

14. In collaboration with the Communications Director, creates content and updates websites and other materials related to DBMI educational programs.

15. Develops and maintains the Graduate Program Coordinator Handbook and the Student Handbook.

16. Performs other duties as assigned.

Minimum Qualifications

A bachelor's degree or equivalent in education and experience; plus, 4 years of related experience are required.

Preferred Qualifications

Master's degree in a related field (e.g., health education, higher education, public health, psychology, or social work) is desirable.
Experience in an academic environment.
Familiarity with Columbia University systems (Vergil, SSOL, SIS, PhDApply, Courseworks) and proficiency with ChatGPT or other Al tools is beneficial.
Experience in student advising.

Other Requirements

The successful candidate will have excellent interpersonal skills and communication skills, both verbal and written.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), communication platforms
(Teams, Slack), and databases.
Resourcefulness, attention to detail, and the ability to manage multiple tasks with competing priorities.
Must be able to handle confidential information.
Excellent judgment and discretion are required.
