Title:  Financial Administrative Coordinator - BSG $24.04 - $28.85 / Posted Thru: 10-29-23

Location:  Remote/Virtual - Must Live in Michigan Occasional In-Person Meetings Required

Purpose: Under the direction of the Director of BSG, serve as a Program Assistant to provide a variety of clerical, financial support, and administrative functions to maintain operations for the Business Solutions Group. This position will also be providing cross coverage for the center's financial staff.

Duties and Responsibilities: Track execution of subcontracts, Letters of Agreements, facility agreements, and amendments. Communicate directly with subcontractors for quarterly reports and invoice follow up questions. Manage the process of gathering and documenting quarterly reports for BSG workplans. Manage the entry of program data into EGrAMS (the state's reporting system), including workplans, budgets and quarterly reports. Participate in budget status meeting with the finance staff and program director. Assist with developing budgets for new projects and amend current project budgets as needed. Manage budgets and work plans and sets up proper tracking templates to monitor. Maintain the program's files with most current information. Complete data entry into budget status templates weekly from SAP and work directly with the program director and/or senior finance manager on any identified issue(s). Ensure compliance with MPHI financial policies and procedures. Assist program director with business development needs. Update project status meeting agenda weekly and prior to meeting. Assist with entering budgets, workplans and/or quarterly reports into EGrAMS, the state's reporting system. Process travel arrangements and conference details for all MPHI BSG employees. Receive purchase requests from BSG staff, gather appropriate approvals and completes purchase. Schedule meeting with clients and staff. Prepare and distribute minutes and assist with other meeting follow-up as needed. Assist with organizing and maintaining the program SharePoint site. Assist with special projects and other administrative tasks as requested. Ensure timely submission of tasks. Possess advanced and proven proficiency in Microsoft Office Excel. Serve as back up for the BSG Financial Coordinator. Maintain a high level of professionalism and integrity; treat program information as confidential. Strong communication to MPHI Core Values and a demonstrated history of use in action. Maintain a positive, strong, credible, professional, and interpersonal relationships with all parties relevant to MPHI projects and always represent the best interest of MPHI. Other duties as assigned.

Qualifications/Requirements:

Education: An associate degree is required; bachelor's degree preferred.

Experience:Previous experience working in an office environment. Experience with budgets and contracts preferred.

Important Skills and Characteristics: Able to work well in a team situation. Proficient in Microsoft Office applications, advanced skills in Excel, familiar with e-mail/internet browser software and knowledge of Sharepoint important. Excellent communication skills including computer, written and verbal skills. Strong organization skills, attention to detail, accuracy, and efficiency in working with data/numbers, personal integrity, dedication, creativity, flexibility, initiative, professional/diplomatic communication skills to provide the program with a knowledgeable resource.
