We're looking for a project coordinator to support the PMO activities of a significant business transformation effort that will replace the Sales, Finance, Operational, and HR technology at Universal Engineering Sciences. This is a key strategic role, as part of the ongoing growth and enhancement of our company. The solution being designed compiles the best practices across the 20+ companies acquired to-date to create a future way of doing business.

We are looking for someone with a foundational understanding of project coordination, excellent communication skills, and a willingness to learn and grow in a dynamic environment. Communication is key as you facilitate interactions among project team members and stakeholders, contributing to a transparent and collaborative project environment. As a Project Coordinator, you will work closely with the team to ensure that project initiatives align with and contribute to the organization's objectives.

Essential Duties and Responsibilities

  • Coordinate and assist in the execution of project activities for various projects, supporting initiatives across different business units.

  • Take meeting minutes, ensuring accurate and comprehensive documentation of discussions and decisions.

  • Document and track action items arising from meetings and project activities.

  • Schedule and organize meetings, ensuring timely communication and coordination among team members.

  • Collaborate with team members within a structured project framework and document project progress.

  • Maintain detailed project documentation, tracking milestones, and updating project progress reports regularly.

  • Ensure effective communication of project status and updates to relevant stakeholders.

  • Support the management of a set of projects for internal stakeholders, helping to identify priorities and potential conflicts among multiple projects.

  • Assist in prioritizing tasks and projects, identifying dependencies, and mitigating potential conflicts.

  • Collaborate with cross-functional teams to ensure alignment with project objectives.

  • Collaborate with team members to ensure smooth project execution within given timelines and resources.

  • Work closely with team members to monitor project timelines and resource utilization.

  • Identify and address potential bottlenecks or issues that may impact project delivery.

  • Work closely with a project team, contributing to meeting user requirements based on project plans and timeline.

  • Engage with project team members to gather and understand user requirements.

  • Contribute to the development and refinement of project plans based on user needs.

  • Provide assistance in evaluating team members' skills and competencies to achieve project goals and contribute to identifying any needed resources.

  • Collaborate with project leaders to assess team members' skills and competencies.

  • Assist in identifying and securing necessary resources to meet project requirements.

  • Execute assigned tasks efficiently and promptly, following guidance from leaders and supervisors.

  • Ensure timely and accurate completion of assigned tasks, adhering to project guidelines.

  • Seek guidance and feedback from leaders and supervisors as needed.

  • Travel is approximately 20-30% - Be prepared to travel as required based on project needs.

Required Qualifications

  • An associate degree in a relevant field such as Business Administration, Project Management, Information Technology, Engineering, or a related discipline.

  • 2 + years previous experience as a Project Coordinator, Project Administrator, Project Assistant, Jr. Technical Project Coordinator, or Jr. Analyst (Business, Data, or Systems)

  • Familiarity with basic project management principles and methodologies

  • Highly skilled in in documenting project activities, meeting minutes, and action items

  • Strong time management skills to prioritize tasks and meet project deadlines

  • Business savvy; ability to connect the dots between functions and across various regions/ branches

  • Highly organized and able to multitask

  • Demonstrated strong partnering skills

  • Demonstrated strong presentation skills

  • Strong attention to detail and problem-solving skills

  • Proficiency in Microsoft Office and software development software

  • Excellent communication skills, both verbal and written

  • Able to work independently and as part of a team

Preferred Qualifications

  • An bachelor’s degree in a relevant field such as Business Administration, Project Management, Information Technology, Engineering, or a related discipline.
