Administrative Assistant to the Chair Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.

Essential Functions

Serves in an administrative/professional capacity as Assistant to the Chair of the Department of Neurobiology.

Schedule/maintain complex calendar; make travel and meeting arrangements (process disbursement requests, travel and business expenses reports, etc.). Handle highly confidential information. Draft memos and letters, and respond to internal/external inquiries.

Under the direction of the Chair and Department Administrator, prepare complex reports, such as the Department's Annual Report, and manage sensitive data gathering activities, including Faculty Performance Evaluations, Conflict of Interest, forms for the faculty, etc.

Plan and arrange faculty and other meetings as assigned by Chair. Arrange for faculty recruiting visits.

Physical Effort

Position requires the routine physical activities of an administrative position. Must be able to walk around campus and nearby areas as necessary.
