DESCRIPTION/RESPONSIBILITIES: The Procurement Executive Assistant plays a crucial role in ensuring the smooth functioning of the entire organization's procurement process globally. Independently prioritize and manage a variety of projects and adapt to changing demands. You will report to the Chief Procurement Officer at the the Pittsburgh General Office.

Responsibilities: * Communication with internal stakeholders and external suppliers regarding meetings. Monitor calendars of the organization and proactively resolve meetings conflicts. * Sourcing and Purchasing of materials, equipment and services that the organization needs to operate effectively. Work closely with vendors, contractors, suppliers, and other third-party service providers to ensure timely procurement. * Event organization and planning including networking events with suppliers, internal stakeholders and team members. * Organization of weekly staff meeting and coordination of agendas * Coordinate complex travel (both domestic and international), meeting arrangements, ensure preparedness for meetings, presentations and engagements.

REQUIRED SKILLS: * 5+ years of previous experience providing administrative support to senior level executives. High school diploma is the minimum requirement, a bachelor's degree in business, supply chain management, or a related field is valued. * Need to communicate effectively with vendors, suppliers, and internal stakeholders. * Manage purchase orders, track inventory and coordinate with various departments require strong organizational abilities. Attention to detail is essential. * For departmental needs, analyze bids, evaluate supplier performance, and assess cost-effectiveness, compare options, consider quality, and make informed decisions. * Proficiency in Microsoft tools, using procurement software, spreadsheets, and databases is essential. * Handles sensitive information, including pricing details and contracts. Upholding ethical standards and confidentiality is critical. * Effective time management is critical. Need to meet deadlines for reporting and need to respond to inquiries promptly * Ability to adapt to changes in technology, regulations, and market conditions. Requires flexibility in hours and availability. * Basic math skills are necessary for calculating costs, quantities, and discounts
