An excellent career opportunity is currently available for an Executive Assistant reporting to Aires Pittsburgh, PA office.
This exciting opportunity will give you the ability to utilize your experience while providing concierge and confidential administrative support to the President and other members of the executive team to ensure effective and efficient operations.
Position Responsibilities:
Manages executive calendar including scheduling and balancing availability for key meetings, travel, and employee interactions. Proactively addresses schedule conflicts.
Manages travel bookings, calendar and corresponding logistics. Supports planned and unplanned travel changes and challenges. Ensures appropriate travel, transportation, business meals, meeting space and accommodations for all business travel including conventions. Proactively re-confirms and monitors bookings for changes or conflicts and communications status updates.
Supports even and meeting planning including but not limited to Management Meetings, Executive Board Meetings, Business Visitors, and Partner Events. Ensures that meeting experience is organized, efficient and in alignment with Aires brand.
Supports and coordinates confidential matters involving personnel issues, employee relations, legal items, financial transactions, and personal needs. Exercises trust, discretion, and confidentiality when addressing requests.
Manages complex office administrative work requiring the use of independent judgment and initiative.
Provides administrative assistance including drafting emails, researching and compiling presentations, preparing and distributing reporting, and crafting communications.
Completes miscellaneous tasks in support of the executive leader to ensure the effective and efficient operations.
Required Qualifications:
High School Diploma/GED required; Associate's or Bachelor's degree preferred
2-3 years of customer service experience providing service through the telephone and via email
1-2 years of experience in event planning and travel booking and coordination
1-2 years of presentation skills
Strong organization skills
Ability to be discreet and follow confidentiality requirements
Additional Qualifications:
Excellent customer service and administrative skills
Computer literacy with MS Office products, and ability to grasp proprietary software
Demonstrated ability to manage multiple competing tasks
Ability to follow policies and procedures
Can-do attitude
