The Project Manager, Director's Office is responsible for organizing, managing, and ensuring the successful completion of the strategic initiatives of the Director's Office (DO). On behalf of the Carnegie Museum of Art's Director's Office, manages organizing and carrying out project plans for Directors' Office strategic initiatives. Leverages expertise with other departments and components to achieve outcomes. Creates and refines timelines, procedures, and workflows, where necessary. May monitor the work of external contractors to ensure timely delivery within budget. Anticipates risk and takes appropriate action. The Project Manager will be responsible for managing the planning for and implementation of initiatives, including capital projects, strategic planning, and other special projects, such as projects relating to the reinstallation of the Museum's permanent collection and the 59th Carnegie International, as assigned. Represents Carnegie Museum of Art and the Director's Office at meetings with internal and external stakeholders as required.

This is a temporary full-time, benefits eligible position. The term of the position runs from September 2024 through the completion of the 59th Carnegie International in January 2027.

Qualifications:

Education and Experience: The candidate must have a Bachelor's degree and at least five years' related experience, at least three of which is in managing projects with demonstrably successful outcomes. An advanced certification in project management is desirable.

Knowledge, skills, and abilities: Minimum of three years' experience with project management. Requires exceptional organizational, communication and problem-solving skills. Must be adept at working on and leading teams. This is a deadline-driven position; the candidate must be able to prioritize and use sound time management and communicate deadline requirements effectively to others. Requires the ability to work on multiple projects at once. Must be adept at Microsoft programs including Excel, Word and PowerPoint. Experience using Asana strongly preferred.

*PHYSICAL REQUIREMENTS: *Work is primarily sedentary but will require some "on the floor" reviews of work, which will require movement throughout Carnegie Museum of Art. May require travel.  Some evening and/or weekend hours required.

Principal Accountabilities:

  • Assists and works closely with Director, Deputy Director and Director of Finance and Administration (the Director's Office) on strategic Director's Office initiatives including: planning, managing, and implementing the organizational and production aspects of the initiatives.
  • Maintains forward movement of the strategic initiatives through careful planning and follow-up.
  • Manages timelines for assigned strategic initiatives and maps out in Asana.
  • Plans, organizes, and prepares materials for all internal and external meetings related to assigned strategic initiatives.
  • Plan for and lead the development process of an assigned project so that it ignites a successful team collaboration within and across departments, components and institutions.
  • Plan for projects to follow a regular development process that contains all or some of the following phases of work: 1) Concept; 2) Work Flow; 3) Detail (including contracts where necessary); 4) Production; 5) Quality control and review.
  • Demonstrate best practice project management methodology including maintaining risk registers, developing communication plans and progress reporting to an agreed format.
  • Schedule, track and manage the project development process in close communication with the Director's Office and others as appropriate. Ensure all content deliverables from all team members and external contractors are delivered on schedule and in good order. Confirm all projects schedules with the Director's Office.
  • At relevant times, invite team members across multiple departments to participate in teamwork.
  • Report any issues that arise to the Director's Office in a timely fashion.
  • Arrange periodic reviews by the Director's Office.
  • Submit all costs associated with project development to the Director's Office for budget review and approval, as needed.
  • Work with teams to communicate progress of projects to Director's Office, senior leadership staff, and other stakeholders, giving attention to the time required to incorporate their feedback.
  • Schedule presentations and meet all deadlines, as needed.
  • Other duties as assigned.
