The Department Clerk - Emergency Services facilitates and organizes the activities of the Emergency Services Control Board desk in conjunction with the Emergency Services leadership, and acts as a liaison for the flow of direct patient care, and clinical and non-clinical services, while working withing time critical deadlines. Maintains a current knowledge of the Unit either by direct or via communication devices to enhance the delivery of health care to patients in the operating room

Duties / Responsibilities:

  • Responsibilities with the Clinical staff:

  • Greet all staff on their arrival to the Emergency Department Control Desk. –

  • Working with the clinical staff, makes appropriate changes to ensure accurate and respective communication. Demonstrates expert competency with electronic patient tracking systems (FirstNet). –

  • Maintains professional, organized control desk environment. –

  • Provides timely vendor/ancillary communication/interactions. –

  • Maintains and orders supplies as needed. –

  • Communicates all physician orders to the appropriate staff and ancillary departments.

  • Facilitates all necessary verbal communication for the Emergency Center.

  • Assists with the training of Emergency staff on specific computer functions.

  • Facilitates communication from Nursing staff to order ancillary records/tests and patient supplies via electronic health information systems.

  • May act as primary communication in emergent situations as needed.

  • Responsibilities with Physicians:

    • Greet the Physician on their arrival to the Emergency Department Control Desk.
    • Assist Physician when necessary to locate necessary patient records.
    • Locate Physician. Notify of time changes and request or communicate updated information regarding patient.
    • Act as point-of-contact for Physicians and respective offices.
    • Obtain necessary information from Physician or office staff.
  • Assist with complaints from physicians and office staff and direct to appropriate person(s) as necessary.

  • Relationship with Hospital Department:

  • -Communicates care status procedures with appropriate nursing unit and communicate necessary patient information to facilitate timely delivery of care.

  • Communicate time and room changes and facilitate orders as necessary.

  • Work collaboratively with Admitting/Nursing Departments to ensure correct "encounter" on the Electronic Medical Record (EMR).

    • Manage and stock Control Desk with clerical and break room supplies.
    • Request unit equipment service from Maintenance or other service departments. - Posts assignments for Emergency staff.
    • Maintains positive working relationship between all Emergency Services staff
  • Interaction with family/visitors:

    • Receive inquiries regarding patient status or condition, refers to appropriate staff or department while maintaining patient confidentiality, creating a patient-focused experience with each patient/family interaction.

Minimum Education, Licensure / Certification and Experience Required.

  • EducationHigh school diploma, GED required or equivalent.College degree preferred.

  • Licensure / Certification

  • Certification by an accredited Unit Secretary/Health Unit Coordinator training course or equivalent working experience. Functional knowledge of medical supply/equipment nomenclature. Emergency/Trauma medical terminology preferred.
