Operations Manager, Research and Proficiency Services needed at BYU Provo campus. Job ID- 132135 Full/Part Time- 3/4 Time Regular/Temporary- Regular Staff and Administrative Operations Manager, Research and Proficiency Services Job Summary Provides administrative support to the Associate Director of Proficiency and Research Services ensuring that everything under the associate director's purview runs smoothly. Maximizes processes and procedures while meeting CLS expectations in terms of cost effectiveness and managing language proficiency assessment initiatives. Essential Functions Manage the BYU Language Certificate Program: Monitoring program budget, Marketing & publicizing the program across the university campus, Advising students on requirements and completion deadlines Consulting with College of Humanities language-department chairs regarding their individual certificate scope requirements Maintaining database of applicants and recipients Verifying coursework and eligibility of students Processing certificates, including submission of transcript notation documentation to the appropriate offices. Oversee all language proficiency assessments sponsored by CLS: Monitoring program budget Managing delivery and reports of assessments including, scheduling and administering oral proficiency interviews (OPI), written proficiency tests (WPT), reading proficiency tests (RPT), listening proficiency tests (LPT), and adaptive reading and listening tests (ART/ALT) Maintaining protocols for interactions with students (BYU and non-BYU) and faculty (BYU full-time, adjunct and prospective) Coordinating with external testing companies such as American Council on the Teaching of Foreign Languages (ACTFL), Language Testing International (LTI), etc. Training, mentoring and delegating to all CLS student employees for all assessment activities Supporting test security protocols for CLS language-proficiency tests administered in language testing labs Creating reports for CLS Director, Assistant Director, the College Dean, and major donors on data for Language Certificates, CLS research, Humanities College research, and language projects Oversee CLS events including professional development workshops, colloquia, and conferences: Monitoring program budget Coordinating and facilitating external official ACTFL and other proficiency-related workshops involving local, national, and international language instructors, held on BYU campus, sponsored by CLS Coordinating monthly faculty Language Acquisition Research Colloquium (LARC) meetings, including scheduling and logistical support Oversee CLS research responsibilities: Monitoring program budget Supervising the Language Sciences Laboratory (LSL) Hiring, training, and mentoring LSL employees Interacting with departments and individual faculty using proficiency tests as part of their research. Act as part of the CLS administrative team by accepting other responsibilities as needed: Representing the CLS at events and meetings when delegated Acting as a backup for responsibilities of Instructional Coordinator and others when those in these positions are not available, such as during vacation Advising visitors and students to the CLS office regarding courses offered, assessments, programs, and initiatives Education/Experience Minimum education/experience required: Bachelor's Degree or an equivalent combination of education and experience Experience with project management experience Experience using Excel to store, present, access, and analyze data (VLOOKUP, PivotTables, SUM, COUNT, AVERAGE, etc.) Experience working with and managing individuals from diverse cultures, backgrounds and institutions Experience with event management & hosting Preferred: Master's Degree 5+ years of project management experience Familiarity with American Council on the Teaching of Foreign (ACTFL) Oral Proficiency Guidelines Familiarity with basic language assessment principals Sk lls Required: Ability to thrive in an administrative environment that requires: Managing and organizing office operations Attention to workflow details and project deadlines Adapting to and overseeing changing policies, practices and requirements Following university policies and procedures (e.g. university honor code, FERPA regulations, etc.) Demonstrated ability to be a self-starter and problem-solver including: Working with minimal supervision Evaluating current practices and proposing options to increase efficiency and/or effectiveness Learning new knowledge, procedures, and assessment criteria Mastering technology/software such as: Microsoft desktop applications, i.e., Word, Excel and Power Point Internet navigation, websites and databases Excellent interpersonal communication skills including the ability to: Work as part of a team Function in a community of scholars, teachers, administrators, and students Be sensitive to cultural differences Use written and spoken English effectively in a university setting Preferred: Data management experience in the use of databases Experience using management platforms such as Qualtrics Employee Class: 3/4 Time (28 hour) Work Location: Provo Campus Environment: General office or other equivalently good environment Physical Exam Required: N Desired Start Date: 07/22/2024 Job Close Date: 07/12/2024 Pay Level: 51
