ICON Clinical Research Receptionist in Reading, United Kingdom

The Role:

As Receptionist you will be the first point of contact in the Reading office. You will be required to manage the reception area and greet staff, visitors and contractors as they come into the building. You will ensure that all administration tasks are completed accurately and delivered in a timely manner. Your role will be varied and you will need to be an effective communicator, personable, helpful and approachable to both staff members and visitors. You will be working as part of the Facilities team and full training and support will be provided on all internal systems.

Responsibilities:

• Use existing procedures to resolve day-to-day issues to maintain and/or improve service efficiency.

• Serve visitors by greeting, welcoming, directing and announcing them appropriately. In this capacity it is necessary that the dress code shall be of standard corporate attire at all times.

• Answer, screen and forward incoming phone calls whilst providing basic information when needed and maintaining confidentiality at all times.

• Receive and sort daily mail, deliveries and courier packages by tracking, logging and dispatching as required in compliance with company SOPs.

• Maintain security by following procedures and controlling access to include monitoring visitor’s log and issuing visitor badges.

• Ensure full operating function of the reception area, reporting repairs needed as appropriate, in addition to maintaining the area in a clean and tidy state.

• Monitor and respond to customer requests through Facilities Online, ensuring timely response and resolution of issues in compliance with department metrics.

• Assist with the coordination of other essential central services such as maintenance, catering, taxis, florists and the ordering, tracking and receiving of office supplies.

• Support other GBS functions at a local level, including Finance responsibilities such as invoice scanning and log completion where required.

• Assistance in organizing monthly events and annual events.

• Follow-up tickets in Facilities on line system.

• Completing trackers in excel.

• Backup/support for Facilities Coordinator.

• Any other administrative tasks (filing system maintaining and updating, reports minutes, records keeping on tasks, policies writing and/or updating, Health and Safety assistance…).

To be successful in the role, you will have:

• Delivering a highly professional first point of contact.

• Punctual, courteous and polite, well organised with strong interpersonal skills.

• Previous experience either as a receptionist or administrator.

• Proficient skills in Microsoft Office applications including Outlook, Word and Excel.

• Excellent communication skills, ability to prioritize and a proactive, service-oriented nature.

• Multi-tasking and flexible.

​• The ability and flexibility to be able to work in the Reading office full time.
