The Executive Support Specialist will work independently or under only general direction to support the executive leadership in a full range of administrative support requirements.
Duties include, but are not limited to:
Assist Security (SEC) Special Security Officer (SSO) in meeting office security requirements
Assist in processing Visitor Access Requests (VARs)
Review, coordinate, and track internal and external staff clearance and nomination packages
Prepare staff summary sheets, memorandum of agreements, and official memos
Update/develop office-level standard operating procedures (SOP)
Facilitate Defense Travel System (DTS) orders for government personnel
Maintain the e-Task management system
Assist in the onboarding and out-processing for new or departing government staff and contractors
Develop and distribute the daily office Personnel Status (PERSTAT) reports
Schedule conference rooms and appointments, VTC/SVTC, Meet Me and IConnect meetings
Maintain office distribution lists, organizational charts and recall rosters
Manage senior leadership calendars
Coordinate office supply orders
Prepare meeting materials, to include agendas, minutes, etc.
Serve as the office Data Transfer Officer (DTO) or Removeable Data Custodian (RMC)
Dissemination of pertinent information to Community of Interest (COI)
Basic Qualifications:
Active Top Secret Security clearance (TS/SCI)
Ability to pass a CI Polygraph
At least (3) years of administration support experience
Microsoft Office application proficiency to include Word, PowerPoint, Excel, Outlook, and SharePoint.
Advanced verbal and written communication skills
Demonstrated ability to communicate professionally and effectively with personnel / teammates / visitors / customers at all levels
Experience working in a team environment, providing direct support to executive level management and other office personnel.
Must have demonstrated excellent attention to detail and quality of work.
Candidate must be proactive and willing to assist other executives in times of absences and personnel shortage
High school diploma or equivalent
