JOB SUMMARY: To provide support to the Fiscal Division and Administration in regard to HR, bookkeeping, purchasing, accounts payable, personnel, and daily office functions.

DUTIES and RESPONSIBILITIES: This position acts in the role as the backup to the HR Coordinator and Assistant Director of Fiscal Services, in addition to any other duties assigned. Assists and services current department employees with questions and/or referring to proper person; Answers incoming telephone calls and responds to routine public inquiries or directs to appropriate person. Requisitions supplies, checks incoming supply orders, tracks payments and prepares purchase orders for payment. Maintains site inventories. Backup receptionist when needed; Picks up mail as needed; Assists with processing payroll for the department; coordinates staff appointments. Reconciles and balances money accounts; monitors budget expenditures; Assists in audit preparation. Provides support to HR Coordinator for the department including screening applicants, scheduling interviews, processing new hires, and other associated duties and coordinates personnel needs of current employees. Assists with maintaining department's vehicle registrations. Processes invoices/submits to auditor's office for payment. Maintains inventory of all mobile devices. Request replacements/upgrades when necessary. Inputs and tracks requisitions in county purchasing database. Works with County Purchasing agency to ensure purchases are fulfilled. Assists with the billing and depositing of all Out of County detention Contract Services. Responsible for fee collection from juveniles. Prepares and maintains daily, weekly, monthly, and annual reports. Assists with maintaining fees payment system and disbursing restitution to victims. Responsible for maintaining storage areas and inventory of supplies and updating the automated attendant; Assists with Annual inventory and maintains records of disposed items. Assists with preparation of statistical reports; Serves as Notary for department. Prepares and coordinates service request tickets for I.T. and Facilities. Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.

REQUIREMENTS: High School Diploma/GED. 2 years job related experience. Strong computer and typing skills (35 WPM); proficient with MS Office, spreadsheets, word processing and desktop publishing. Knowledge of basic record keeping and general secretarial principles/procedures. Ability to interact effectively with the public and other employees. Strong organizational skills; ability to complete assigned tasks within tight deadlines and the ability to prioritize own work. Financial and mathematical skills; good accounting and bookkeeping skills. Notary Public of Texas may be required.

Bilingual skills helpful but not required.

SALARY RANGE: $26.40 per hour

An applicant may not have any of the following disqualifying criminal history: 1) A felony conviction against the laws of this state, another state, or the United States within the past 10 years; a deferred adjudication for a felony against the laws of this state, another state, or the United States within the past 10 years or current felony probation or parole. 2) A jailable misdemeanor conviction against the laws of this state, another state or the United States within the past 5 years; a deferred ad udication for a jailable misdemeanor against the laws of this state, another state, or the United States within the past 5 years or current misdemeanor probation or parole. 3) Registered as a sex offender under Chapter 62, Texas Code of Criminal Procedure.
