Position Summary:

Greets all callers, visitors, and guests professionally and with a warm and welcoming presence. Efficiently directs the day-to-day operation of the switchboard and reception area of a Fortune 100 Corporate office. Assists with filing, mail processing, conference room reservations, and other administrative duties, as assigned. Functions as a team member within the department and cross-functions, as required, and performs any duty assigned to best serve the company.

Position Responsibilities:

  • Serves as a role model for the Company's expectations as described in PFG in Action.

  • Professionally greets associates, guests and visitors on the telephone and in person in a welcoming manner.

  • Ensures security procedures for building access are followed.

  • Directs visitors to designated meeting rooms.

  • Answers and appropriately directs incoming calls from the Company's main phone line.

  • Demonstrates proficiency in Microsoft Office products to accurately search associate information.

  • Manages the PFG Guest Wi-Fi account process.

  • Reserves conference rooms as needed and monitors meetings/events that impact building headcount.

  • Processes invoices for facility vendors and the Corporate FedEx account.

  • Supports mail sorting and distribution to include notifications of UPS and FedEx shipments

  • Performs other related duties as assigned.

Required Qualifications:

• High School Diploma/GED or Equivalent Experience

• 3 – 5 years previous experience in a large, high traffic office environment

• General office experience to include basic computer and switchboard skills

• Strong interpersonal skills to create a welcoming experience for all who enter the Corporate office

• Excellent communication skills, patience and listening skills to respond and interact positively to customers, guests and visitors, whether in person or over the phone

• Time management skills to prioritize and complete a variety of tasks throughout the day

• Exceptional customer service skills
