Robert Half Administrative Assistant in Rochester, New York

Description We are offering a contract to hire employment opportunity for an Administrative Assistant role in Rochester, New York. The role involves providing administrative support in a telecommunications industry setting, where the primary job functions include answering phone calls, greeting visitors, and providing excellent customer service.

Responsibilities:

• Act as the first point of contact for visitors, ensuring a welcoming environment

• Efficiently handle all incoming calls, directing them to the appropriate person or department

• Promptly respond to inquiries and provide exceptional customer service to both internal and external stakeholders

• Manage the reception of, review, and distribution of incoming mail in accordance with established procedures

• Maintain and update various office files, offering general office filing support as necessary

• Responsible for ordering and maintaining inventory of office and kitchen supplies

• Assist other administrative staff in managing overflow work, including tasks such as word processing, data entry, and internet research tasks

• Utilize Microsoft Excel, Outlook, PowerPoint, and Word to perform various administrative tasks

• Answering inbound calls and managing email correspondence

• Schedule appointments and meetings as needed. Requirements • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint

• Ability to manage inbound and outbound calls efficiently

• Proven customer service skills and experience

• Demonstrated ability in data entry tasks

• Experience in email correspondence and written communication

• Capability to schedule appointments and manage calendars effectively

• Ability to handle administrative tasks and perform under pressure

• Strong organizational skills and attention to detail

• Ability to work independently and as part of a team

• Excellent problem-solving skills and ability to make decisions

• Good time management skills and ability to prioritize tasks

• Professional attitude and ability to maintain confidentiality

• Excellent verbal and written communication skills

• Ability to learn new software and technologies quickly.
