Job Description

The UK Spare Parts Proposal Specialist is responsible for the Inquiry to Order (ITO) process: manage requests and inquiries related to spare parts and repairs quotes including return requests. Role also requires being flexible to manage orders through to delivery.

In this role you will focus on:

  • Receiving and logging RFQs from customers.

  • Managing the entire parts & repairs quotation process (RFQs, quotations, pricing, reviewing and validating purchase orders).

  • Identifying parts and quoting customers using standard and internal pricing tools.

  • Liaising with stakeholders (Sourcing, Parts Definition) for timely quotes.

  • Converting quotes to orders and maintaining accurate quote data in SFDC.

  • Resolving customer issues, managing parts availability, and confirming delivery dates.

  • Upholding local/GE policies: pre-quote checks (Nuclear, Finance, Sanctions), pricing compliance, hazardous material shipping regulations, export/import controls.

  • Being flexible to provide back-to-back cover for managing and fulfilling Orders, principally related to Repairs (ensuring on-time parts delivery, supporting SAP projects, managing financial forecasting, generating advice notes, managing deliveries/collections based on incoterms, assisting with picking / packing / kitting / labelling goods, raising invoices and following up on unpaid invoices).

  • Maintaining a clean and organized workspace (5S housekeeping, Clear Desk Policy).

  • Observing and maintaining Environmental Health & Safety requirements.

We are looking for a committed and professional individual with:

  • GCSE (or equivalent) in English/Mathematics.

  • SFDC/SAP experience for quotes, projects, finance & data reporting.

  • Intermediate Excel user, proficient in Word, PowerPoint & Outlook.

  • Proven customer service/order management experience.

  • Understanding of order fulfillment and export/import documentation.

  • Excellent written and oral communication skills.
