Position Title: Administrative Assistant - Operations\
Location: St. Charles, MO\
Position Summary: Provides administrative support to the site
Operations, Quality and Customer Service departments with various
administrative responsibilities. The position requires strong verbal and
written communication skills, technical skills, ability to multi-task,
attention to detail, and the initiative to work in a sometimes-ambiguous
environment.\
Primary Responsibilities:\
Operations/Shop Production\
Assist the Operations Manager and the Shop Production department with
coordinating/scheduling production activities and manage documentation
related to production processes.\
Proactively schedule, document, and/or communicate with Shop Supervision
and their teams so employees are prepared for key meetings and
deliverables ensuring smooth operations. (e.g., Shop Leadership Team
Meeting, Production Team Lead Meeting, etc)\
Establish and maintain efficient workflows within the Operations
department, so that routine tasks are handled promptly and allows other
associates to focus their primary job duties.\
Serves as primary backup administrator for hourly site IPS time keeping
system.\
Participate in projects to further effectiveness of the department.\
Prepare and edit high-quality correspondence, communications,
presentations, and other documents. (e.g., Operations Review
Presentations, Manning Charts.)\
Schedule and coordinate company meetings to ensure flawless
communication.\
Serves as a new hire onboarding companion to Shop Production employees.\
Recognize as well as assist with departmental improvements. (i.e., form
revisions, filing system updates, streamlining basic procedures)\
Assist Shop Supervision with labor tracking.\
Undertake special projects and/or assignments, as directed by
management.\
Other duties, as assigned.\
Quality and Service Repair\
Maintain, monitor, and train on Craftsmen Industriess Quality Management
Software System (Trubox).\
Monitor scheduled actions, open /close warranty orders and open/close
customer service orders.\
Assist with revising documents, uploading, and maintaining documents.\
Prepare/update documents and product manuals.\
Learn and cross train in Quality System Requirements.\
Assist with customer service phone inquiries and correspondence, as
needed.\
Serve as back up to front desk attendant and office coordinator, as
needed.
