Gulf Coast Jewish Family and Community Services Administrative and Programs Coordinator in Saint Petersburg, Florida

Must have the following in order to apply:

  • High School diploma or equivalent or secretarial/ administrative training, with a minimum of two years in administrative or related experience.
  • Required to attend 5 hours of continuing education/training per year.
  • Computer skills

Preferred Qualifications:

  • One year of experience in refugee services programs

Job Description: Provide general administrative and program coordination support to Refugee Programs. The Administrative and Programs Coordinator will perform both administrative and case management support duties.

Duties and Responsibilities:

  • Provide administrative and program support to the Refugee Programs.
  • Provide internal and external customer service through handling of telephone calls, email messages, and face-to-face contacts.
  • Manage internal and external meetings for the programs, including planning, set-up, agendas, minutes and logistics set up.
  • Compose correspondence, assist with reviewing policies and forms, and obtain agency sign-off as needed.
  • Maintain contact list, email and calendar for Senior Director.
  • Assist with staff and client check requests, reconciling of credit cards, travel and financial requests.
  • Support staff in preparation for internal QI audits and any funder audits.
  • Assist with Community Events and logistics.
  • Prepare handouts, training materials and other distributions of information as requested by Seior Director and programs.
  • Order office supplies, stationary, brochures, etc. as needed.
  • Maintain office files related to program grants, reports and contracts.
  • Maintain documentation, service hours and designated tasks of direct service and administrative volunteers.
  • Assist with compiling data for periodic statistical reports.
  • Assist in preparation for internal QI audits and any funder audits.
  • Coordinate support services for the refugee programs
  • Assist with client follow-up, including returning phone calls and researching resources.
  • Enter client case notes, financial information and documentation in databases and client files as requested.
  • Assist with special projects as assigned by the Senior Director.
  • Perform all other duties assigned by the Senior Director
