Job Summary:

The Division of Pediatric Critical Care Utah Data Coordinating Center at the University of Utah

School of Medicine has an immediate opening for an Administrative Assistant. This is an

exciting opportunity to serve as an Administrative Assistant for the NIH funded HEAL (Helping

End Addiction Long Term) Pain Management Effectiveness Research Network ( ERN ). This broad

research effort seeks to improve pain care by enhancing understanding about chronic pain as

well as by accelerating and improving pain therapeutics development. Help play a part in

solving the nation’s opioid crisis! This Administrative Assistant position provides opportunities

to work with a high functioning, cutting edge team that will study, understand and improve multicenter translational research.

Responsibilities

Job Duties:

  1. Serves as an administrative contact for the Utah HEAL .

  2. Schedules and coordinates webinars, teleconferences, meetings, appointments and

travel arrangements for HEAL Managers and Staff.

  1. Creates and maintains organized files in electronic communication system.

  2. Prepares agendas and takes minutes at weekly meetings and teleconferences.

  3. Assists with business planning and goal setting.

  4. Assists in preparing reports on network status and progress for management and

federal partners National Center for Advancing Translational Sciences ( NCATS ).

  1. Works closely with the leadership in completing all administrative requests including but

not limited to corresponding with members of the Utah team and taking care of their

administrative needs.

  1. Maintain budget reports, reconcile accounts and prepare expenditure statements

  2. Collects, organizes and analyzes data for specialized reports.

  3. Coordinates the collection and preparation of operating reports.

  4. Assists with the implementation of SOPs and University policies and procedures.

  5. Provides administrative support to leadership by scheduling appointments, coordinating

meetings and conferences and maintaining and ordering office supplies.

  1. Support in creating, monitoring and maintaining annual reporting lists, i.e. manuscripts

published and submitted, web-based products created, and presentations

  1. Support in the creation and production of study guides, manuals, newsletters and

patient study files

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

  • Strong coordination, attention to details, and organizational skills required to prioritize

conflicting deadlines.

  • Proficiency in MS Word, MS Excel, MS Outlook and Adobe Suite.

  • Excellent judgment and exceptional communication skills needed as significant

interaction will be required with federal program staff, network investigators and Utah

staff.

  • The ability to quickly learn new technology.

  • Three years full-time hands-on administrative support experience preferred.

  • Demonstrated ability to work independently, analyze and make decisions related to

program content.
