The Behavioral Health Crisis Outreach Response and Education (BHCORE) is a multi-focused organization dedicated to supporting frontline responders working with people facing behavioral health crises. This new center is focused on giving first responders the tools needed to handle stressful situations and create space for care and healing after handling challenging casework.

The BHCORE has an outstanding opportunity for a full-time Continuing Education Coordinator. The continuing education coordinator will be responsible for managing the logistics around BHCORE’s education offerings. This includes an annual conference and in-person and online learning opportunities. The [Continuing Training Coordinator] supervises and works closely with the [Administrative Assistant] to provide a high-quality educational experience for crisis responders.

The Continuing Education Coordinator will work with several outside organizations to coordinate conferences and learning opportunities. They will work closely with the Training Director to ensure the needs of all participants are met and handled with care. Given the sensitive nature of the work, this person will need to demonstrate excellent communication skills and sensitivity around the topics of training.

DUTIES AND RESPONSIBILITIES Training Scheduling, Coordination, and Communication

  • Create and facilitate the scheduling and end-to-end logistics for in-person events and online learning.

  • Create and facilitate the training schedule based on the annual training plan.

  • Collaborate and partner with the Training Director and contracted trainers to schedule training events.

  • Manage the center’s learning management system for online training delivery, including preparing class information for entry into an LMS.

  • Receive attendance logs and record attendance into the training systems and store logs for record management and summarize training attendance information.

  • Manage and communicate about enrollments to the Training Director.

  • Manage the registration/application process for training BHCORE participants.

  • Communicate with participants about courses, including enrollment status, pre-requisites, cancellations, and certifications

  • Coordinate with training sites to ensure smooth delivery of trainings

  • Prepare courses for entry into electronic training management system

  • Administer, collect, and analyze pre- and post-learning evaluation and feedback data

  • Track course enrollment and completion for participants and stakeholders

  • Manage system to track subject matter expert deliverables

  • Send pre- and post-learning event communications (e.g. class reminders, surveys, and evaluationreminders).

  • Track CEUs (NASW, DOH) for trainee licensure requirements

  • Organize significant amounts of information into a usable format and systems

  • Being proactive about problem solving situations that will arise during conference and training planning and execution. Event Coordination

  • Source locations appropriate for annual conferences and other in-person events; negotiate terms of space rentals when required.

  • Develop agreements with event venues and other vendors

  • Track conference registrations

  • Regularly communicate registration status to BHCORE team members

  • Liaise with external partners to ensure event feedback is incorporated

  • Provide on-site technical support for video and audio use and Zoom training delivery

  • Manage training materials (e.g. order workbooks, handouts, swag, office supplies)

  • Monitor budgets with regards to course and conference planning. Contracted Trainer Management

  • Provide feedback to contractors based on participant survey and evaluation data, including identifying areas for improvement.

  • Work with the Training Director to communicate expectations for contracted trainer performance and responsibilities.

  • Provide necessary support to contracted trainers on training day. Program Integrity

  • Manage legal documents and mail-merge templates for educational programs

  • Manage student and university agreements in collaboration with the WDI Assistant Director

  • Oversee quarterly verification of employment for scholarship recipients

  • Contribute to the design of the BHCORE programmatic design. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Communications/Marketing or a related field

  • Three years experience serving in a pivotal role responsible for organizing activities and information Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience working in a structured organizational process involving planning and implementing ongoing proactive improvement processes to provide quality outcomes

  • Proficiency in MS Office (incl Teams), InDesign, Zoom, Doodle or other polling software

  • Understanding of UW policies & procedures

  • Knowledge of and experience with scheduling and logistics, customer service, data collection, extraction, and reporting

  • Demonstrated understanding of working in a collaborative community environment, building relationships, and managing expectations within those relationships is required

  • Ability to build relationships, provide assistance, be a resource, work independently and take initiative

  • Familiarity with the UW processes, procedures, systems, and policies

  • Excellent verbal and written communication skill DESIRED QUALIFICATIONS

  • Proficiency in WordPress

  • Knowledge and experience with Learning Management System software and online survey tools

  • Ability to learn, understand and interpret technical data, systems and platforms.

  • Logistical experience scheduling and coordinating resources with multiple complexities.
