To provide executive and administrative support to the APAC Capital Markets Team and ensure business activities are managed in the most effective and efficient manner.

Key Responsibilities

  • Manages diary for multiple Executives and coordinates with others across different time zones for effective diary management

  • Drafts confidential correspondence, edits documents, and performs other administrative duties

  • Coordinates, and supports meetings, workshops, conferences and town halls across global locations, which may include material preparation and logistical coordination

  • Serves as a liaison between Executives, internal management, employees, clients, third-party vendors and visitors as required

  • Liaise with key stakeholders to ensure updated CBRE content for initiatives / projects are prepared and assists with publishing or retaining in appropriate central repositories such as Teams

  • Build and maintain collaborative relationships with other key stakeholders across HR, Finance, and other corporate functions globally

  • Arranges international and domestic travel, Visa Applications and other travel-related matters, and ensures appropriate approval processes are followed

  • Creates expense reports and ensures department expenses are routed to the appropriate team for management;

  • Coordinate with APAC/global team and vendors on PO and invoice related matters (Peoplesoft, Coupa System)

  • Assist in the onboarding of new joiners to include onboarding document, access to systems and serving as the go-to resource for questions

  • General Administrative and ad-hoc duties as required.

Specifications/Requirements

  • Excellent interpersonal skills and ability to develop strong partnerships with stakeholders at various levels and an attitude that is proactive, energetic, positive, open, honest, friendly and professional.

  • Demonstrate a high level of initiative, problem solving and decision making (within set guidelines).

  • Possess highly developed time management and organizational skills with the ability to give attention to detail, priorities tasks, work under pressure and adhere to tight deadlines, while dealing with conflicting and varied demands in a mature and professional manner.

  • Possess a highly developed service ethic – with the ability to communicate professionally and deal with people at all levels, including internal and external clients.

  • Ability to handle multiple requests and work under tight deadlines while maintaining attention to detail and quality of work

  • Expert in MS Suite of tools, including Word, Excel, PPT, SharePoint and Teams

  • Ability to communicate effectively across diverse organizations and cultures

  • Occasional this role will have access to sensitive information; therefore, this role must have total digression and integrity at all times.
