Department/Program Description : The Department of African and African American Studies (DAAAS) was officially launched in January 2024. The department focuses on the core principles of furthering excellence, encouraging critique, and pursuing the positive social transformation of people of African descent in Africa and the diaspora not only through multiple scholarly perspectives and models, but also through the study of art practices and the creation of art works. The department offers an undergraduate degree to provide students with an interdisciplinary introduction to the study of African, African American, and of African descended people all over the world as a central component of American and world culture. Courses in the major promote research across disciplinary and departmental boundaries in the arts and humanities and will provide students with research training and community service-learning opportunities. Courses of study are drawn from art, art history, cultural anthropology, economics, education, film, dance, performance studies and theatre, literature and literary studies, history, languages, linguistics, music, philosophy, political science, psychology, religion, and gender & sexuality studies, among others. The department currently has 8 faculty and is in the process of searching for and appointing new faculty who are expected to join the department from Academic Year 2025. Position Summary: The Department of African and African American Studies is seeking a Finance and Administration Manager to manage fiscal processes, handle faculty affairs and provide other administrative support to the department. The Finance and Administration Manager will work under the direction of the Director of Finance and Operations (DFO) and will manage fiscal operations such as year-end close processes, reviewing and or approving transactions, and analyzing financial reports.This position will also be responsible for reviewing fiscal processes and making recommendations for strengthening internal controls, supporting annual and adhoc budgeting processes and be the key contact person for financial operations in the department. The faculty affairs role will include supporting searches,appointments, reappointments, and promotions for faculty and other academic staff while maintaining records. This position willserve as the primary point of contact, as needed, in onboarding and orienting new faculty to the department and provide administrative support to the department chair. Other duties include providing support to and overseeing students and other department events as needed.

The Finance and Administration Manager must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. It is critical that this position exhibit the abilities to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management.This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies and procedures as they relate to Finance and Administration Manager role– the ability to translate this information into operational successes will be critical.

This is a 100% FTE, exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES

· Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.

· Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.

· Analyze and interpret policies; develop, revise and implement procedures for program or function.

· Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.

· Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.

· May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.

· May direct staff to perform various tasks and assignments. May also supervise staff.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree and three years of experience in finance and or administrative processes or combination of education and relevant experience. Experience with finance or accounting and administration or faculty affairs in an institution of higher education preferred.

HIGHLY DESIRED QUALIFICATIONS:

· Demonstrated ability to act with tact and maintain confidentiality.

· Knowledge of basic accounting and budgeting principles;

· Proficiency in business applications, such as Microsoft Office suite, especially Excel;

· Experience working with administrative databases;

· Strong project management skills;

· Demonstrated problem solving and analytical skills.

· Ability to track, monitor and adhere to deadlines.

· Experience with or willingness to learn budgeting tools and applications, advanced PowerPoint and Excel/including pivot tables and graphing.

· Demonstrated quantitative and financial analytical skills, especially with financial projections and forecasting.

· Strong problem-solving skills, working with stakeholders and other team members to fully analyze issues and develop insights and actionable recommendations.

· Experience in institutional accounting systems, databases, data extraction methods, and report presentation.

· Knowledge of Stanford's Oracle financial systems, data structures, and methods of report generation is highly preferable.

The expected pay range for this position is $99,015 to $126,383 per annum.
