ProMedica Health System Talent Acquisition Contingent Workforce Coordinator - Recruitment in Toledo, Ohio

POSITION SUMMARY

ProMedica is hiring a Talent Acquisition Workforce Coordinator to support recruitment and daily operations related to onboarding, coordination, and off-boarding of contracted labor working across ProMedica. The role involves collaborating with various departments and vendors to ensure staffing needs are met effectively while maintaining compliance with organizational and regulatory requirements.

ACCOUNTABILITIES

Assist in recruitment initiatives to align with the organization’s workforce needs. Collaborate with recruiters, HR, and hiring managers to ensure seamless service delivery throughout the recruitment lifecycle. Create and oversee job requisitions and approval workflows within the Applicant Tracking System (ATS) and Client Relationship Management (CRM) system to formalize open positions upon approval. Assist with Provider upcoming site visits. Register and coordinate participation in virtual career fairs, specialty medical conferences, and other relevant recruiting events. Work closely with team and stakeholders to facilitate relocation support for new hires. Prepare ongoing reports across multiple systems, CRM, HCM, ATS, & VMS for regular presentation to internal stakeholders. Produce reports to ensure accurate auditing of contingent workforce details. Act as the main liaison for internal stakeholders regarding contract labor, addressing inquiries, providing updates, and managing expectations. Coordinate on-boarding process for new, contingent staff or contingent staff changing assignment. Ensures all stakeholders receive clear communication on process, timelines and expectations. Identify and promptly escalate urgent matters to the appropriate team members for resolution. Work closely with suppliers and hiring managers on all aspects related to open work orders, contractor onboarding/offboarding, conversions, timesheets, revisions, and billing discrepancies. Ensure compliance with contract provisions regarding rates, hours and scope of work. Assist Director with monitoring contract renewals and amendments. Ensure contracted staff business practices adhere to company policies, legal regulations, and relevant industry standards related to employment. Support other responsibilities as needed to enhance operational efficiency across TA Department.

Must be able to work Eastern Standard Time.

This position can be worked remote. REQUIREMENTS:

Associate degree or equivalent combination of education and experience. Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint. Familiarity with Applicant Tracking Systems (ATS), Human Resource Information Systems (HRIS), or Customer Relationship Management (CRM) tools. Strong ability to manage high volumes of email correspondence and follow up on outstanding tasks through to resolution. Demonstrated experience in coordinating and collaborating across a matrixed organization or with multiple internal and external stakeholders. Experience generating reports, analyzing data, and providing insights for decision-making, especially within HR, staffing, or MSP environments. Minimum of 2 years of professional experience in HR, staffing, MSP, Recruitment Process Outsourcing (RPO), or internal recruitment.

PREFERRED REQUIREMENTS:

Experience using VMS software tools Experience in a MSP/VMS relative to contingent labor Intermediate level of Microsoft excel, specifically proficient in pivot tables Ability to navigate across multiple software systems Familiarity of labor laws, compliance standards, and industry best practices in recruitment and staffing.

Salary Range: $33,800 - $96,408
