This position is integral to the Digital Strategy and Operations team, with the ability to rotate and service all pillars of the team. They are tasked with translating business objectives into actionable digital strategies that propel the business forward.

Key Responsibilities

In this role, you will primarily help and support Digital Hub lead specifically in,

  • Provide strategic, tactical and operational support to initiatives supporting growth and innovation in Hubs for Digital.

  • Able to manage complex and multiple projects with many stakeholders globally & locally.

  • Drive and support transversal projects with the Hub Leadership Team (LT) in Digital.

Operational

  • Drive transversal projects with the Leadership Team and support the development of new initiatives in the Hub and facilitate the follow-up of their roll-out.

  • Contribute to elaboration of current professional topics, in coordination and monitoring of the tasks.

  • Lead and participate in cross-functional team sessions/meetings, and Follow-up on the meeting outcomes and action items.

  • Manage the headcount, finance and IT related reports and coordination.

  • Facilitate and support events and global visits end to end.

  • Manages management’s diary facilitating visitor visits/meetings (including booking of rooms and venues).

  • Connecting employee & manager queries to OneSupport.

  • Co-ordinating for International travel related queries for employees.

  • Manage suppliers in ordering different office equipment and service areas including initiating POs and overseeing the delivery.

  • Assist with the preparation of presentations, reports as requested.

  • Work closely with other Administration/Support staff & teams to ensure the delivery of the goals.

Organizational

  • Being a strong point of contact to ensure all queries and issues are dealt with or escalated as appropriate.

  • Takes part in welcoming guests to ensure that a professional customer focused service is always provided to both internal and external customers.

  • Coordinates newcomer onboarding, training progress and buddy program (forms community, best practices, improved process).

  • Work time administration (sick leave, different work schedules) and focal point towards HR administration.

  • Manages e-mail distribution lists and business system access administration (req submission, follow up) as per functional inquiries.

  • Implement appropriate filing and other office procedures and any other general administration and assistant duties.

About You

Key qualifications, Skills and Competencies:

  • Bachelor’s degree in Business Administration, Management, or a related field.

  • Ability to communicate and write in English language, other language is a plus.

  • Manage and monitor day-to-day operations of office administrative tasks in a reputable organization or international/global business environment.

  • 5+ years’ experience work performed in a similar administrative or project coordination role.

  • Proven ability to work effectively in a team-oriented environment.

  • Demonstrated organizational skills and ability to prioritize.

  • Previous experience in a team support / administration capacity within a fast-paced business.

  • Strong team player who is self-motivated and able to multi-task under pressure.

  • Proven ability to meet deadlines and make best use of limited resources.

  • People Skills: Good communication skills, Empathetic, Engaged, Reliable, Organizational skills, Ability to overview and perform independently as well as Team,

  • Technology Skills: Proficient level in using broad range of Microsoft O365 communication tools and techniques (Word, Excel, PowerPoint etc.).
