EDUCATION

  • College Diploma or University Degree in Office or Business Administration or related field

WORK EXPERIENCE

  • Experience providing administrative support in a business, financial services, or human resources setting

  • Proficiency with Microsoft Office Suite applications including Word, Excel, and Outlook

FUNCTIONAL SKILLS

  • Ability to broaden office and facilities administration experience as well as develop a solid understanding of relevant regulatory, compliance and legal requirements

  • Comfortable providing excellent customer service

  • Ability to interact with all levels of an organization, across various departments and locations

  • Strong computer skills with intermediate knowledge Microsoft Office applications, particularly Excel and Powerpoint skills

  • Ability to listen to and analyze issues, seeking guidance as needed

  • Ability to work both independently and in a team environment

  • Willingness to learn how to gather and/or interpret relevant information through firsthand research or third-party consultation

  • Desire to develop an understanding of vendor management topics related to facilities management and workspace planning

  • Regarded as responsive and resourceful when responding to inquiries, escalating issues as needed

RESPONSIBILITIES

  • Administer and maintain office processes per guidleines (e.g., badges, access, workspace, event planning, travel coordination, calendar scheduling, facilities management etc.)

  • Track and ensure availability and accessibility of office space and relevant inventory/supplies

  • Respond to employee and office inquiries, escalating issues as appropriate

  • Liase with office colleagues, vendors and building management

  • Manage and maintain executive calendar, appointment and daily schedule

  • Organize and coordinate travel arrangements, including flight bookings, hotel accommodation, transportation and itineraries

  • Prepare logistics, materials and follow up for meetings

  • Arrange and manage logistics for new hires

  • Support and organize various office projects and programs as needed
