Commercial Operations Coordinator

What your responsibilities will be

  • Preparing and submitting an offer (completing documentation in accordance with the guidelines)

  • Assistance in current matters related to the tender (preparing applications, sending information about tender opening etc.

  • Completing all tendering documentation, and placing in salesforce

  • Keeping a folder for each client with all documentation (tender offer, contract, installation protocols, lists, etc.)

  • Preparing and checking formal tender documentation – KRS, ZUS etc. (monitoring the expiry dates)

  • Sending a request to the finance department regarding a deposit, bank guarantees, insurance – monitoring

  • Support with preparing and checking the subject evidence – monitoring the expiry dates (new requirement in new act)

  • Monitoring the newsletter in order to research announcements of upcoming tenders.

  • Cooperation with the administration department in the purchasing process (keeping the deadlines, support in the purchase)

  • Monitoring contracts, signatures, archiving

  • Assistance in current matters

  • Minimum Bachelor’s Degree. Prefered in law or similar (ie. administration, finance).

  • Fluency in English and Polish.

  • General knowledge and experience in tender process.

  • 1-2-year work experience in similar position.

  • Plan, organize and manage own workload to ensure contribution to the company’s deadlines of reporting process in a timely and accurate manner.

  • Must have a great attention to detail and be excellent at maintaining records and filling.

  • Must have a mature professional approach to the role.

  • Accountable for results achieved.

  • Strong business acumen.

  • Used to operate in a multicultural context and in a multi-divisional environment.

  • Results oriented, entrepreneurial, and self-motivating.

  • Ability to communicate and present at all levels.

  • Tenacious, tough-minded, and able to influence and demonstrate strong team working abilities and commitment.

  • IT literate (including MS Office: Excel, Access, Word, and Outlook).
