The assignment duration is 18 weeks with the possibility of extension. The position is located at the company's office in White Plains, New York.
The Assistant Property Manager manages the day-to-day operations of the Connecticut, New York, and New Jersey portions of the commercial property portfolio under the guidance of the Vice President of Operations. Responsible for interacting with tenants, coordinating all tenant service calls, coordinating and managing vendors, assisting with capital projects, assisting with marketing and leasing activities, and implementing commercial policies and procedures. Individual must develop and maintain a positive relationship with all tenants, provide high quality service, and anticipate needs. Individual must become familiar with our properties to understand and assess needs and site conditions.
Responsibilities:
Tenant Service and Relationships
Manage day-to-day service calls from initial contact to closeout for assigned commercial portfolio. Assess needs, identify necessary response, and implement prompt responses to requests from tenants.
Develop and maintain positive relationships with all tenants. Promote goodwill, provide high quality service by responding same day to requests, and anticipate needs.
Maintain tenant/building service logs/tracking in Angus and ensure requests are completed in a timely fashion.
Vendor Coordination and Management
Responsible for vendor and contractor management, including assistance with the development of job specifications, bidding, preparing contracts, overseeing work, and reviewing invoices.
Coordinate recurring contracts (ie: landscaping, snow removal, alarms, fire sprinkler testing, HVAC preventive maintenance, etc.)
Schedule recurring maintenance and inspection visits (ie: fire sprinkler and alarm inspections, HVAC, etc) at buildings by coordinating with tenants and vendors. Track the completion of such inspections, filing of the inspection reports, and working with the property manager to address issues noted during the inspection.
Track and file snow logs for each building.
Maintain day-to-day contact with contractors and vendors to ensure the provision of high quality services.
Property Inspections/Visits
Visit assigned properties on a regular basis to monitor the condition of the property, evaluate contracted services, and meet tenants. Coordinate with tenants and vendors to address outstanding issues.
Inspect tenant spaces, public, mechanical, and ground areas to ensure proper property maintenance and condition.
Recommend and implement maintenance programs and improvements.
Monitor each property's operation to ensure compliance with lease conditions, budgetary goals, and governmental regulations and implement corrective actions as required.
Project Management
Assist in the management of construction projects (typically ranging from $50,000 to $200,000).
Assists with the design, bidding, contracting, construction, and construction oversight of construction projects.
Financial and Budgeting
Assist in implementing the annual operating and capital budgets for the properties.
Evaluate and monitor ongoing projects and services with respect to budget. Manages in accordance with the established budget.
Review, code, and approve invoices related to properties.
Assist the property management and accounting staff in preparing annual tenant reconciliations. Review all CAM billings and reconciliations.
Work with administrative staff with collections and aged receivables. Contact tenants to resolve collection and aged receivable problems. Prepares late notices and default letters as necessary.
Prepare rent increase notice letters to tenants.
Asset Management
Monitor and evaluate property operating performance relative to the business plan
Review monthly, quarterly, and annual financial reports
Leasing and Marketing
Review certificates of insurance to confirm that certificates meet lease and contract requirements and obtain updated certificates as necessary.
Assist in the marketing and leasing of available spaces as needed, including coordinating with leasing managers, brokers, and scheduling visits.
Additional Responsibilities
Oversee maintenance of highly organized filing systems (electronic and paper) for leases, tenants, vendors, buildings, drawings, and contracts/purchase orders.
Oversee maintenance of tenant and vendor contact list for properties group. Oversee updates to emergency contacts on regular basis.
Perform other tasks as needed to provide for efficient operations and to provide high-quality real estate and property management services.
Education and Qualifications:
College degree, preferably with relevant courses real estate management and building operations. CPM or RPA candidate or designation preferred.
Must have several years of real estate property management experience (5-10 years preferred).
Must be able to interpret lease terms and conditions and apply them to individual tenant situations.
Must understand the technical components of building systems and their operation. Must be able to interact with vendors and contractors on a technical level to addresses property management requirements.
Must be able to interact with tenants on a regular basis at the professional level and provide a positive reflection of the Baker organization. Must understand the customer-service expectations in working in multifamily housing.
Hands-on working experience required in Microsoft Office, Word, and Excel. Familiarity with Sage and Angus Anywhere beneficial.
Strong communication and writing abilities required. Must be positive, outgoing, professional team member with excellent interpersonal and management skills.
This position requires a well-organized person who can work independently, prioritize multiple tasks, meet deadlines, manage vendors, and see multiple tasks through to successful completion.
Must possess valid driver's license.
Pay Details: $30.00 to $27.00 per hour
