Shenandoah University’s Office of Admissions is accepting applications for an Admissions Data and Processing Specialist. This is a full-time benefited position located on our main campus in Winchester, Virginia.
The Admissions Data and Processing Specialist supports the University’s student recruitment efforts and the Office of Admissions Systems team by ensuring accurate assessment, entry, processing, and quality assurance of all undergraduate and graduate application and enrollment materials. The Data and Processing Specialist must be able to work in an organized and systematic manner, be detail-oriented, and have the flexibility to manage competing priorities as needed by the Office of Admissions. The records maintained and processed by the Data and Processing Specialist are the foundation for communications with prospective students and admissions decisions at the first-year, transfer, and graduate admission levels. Timely, efficient, and accurate record maintenance is essential.
Responsibilities
Prepares and maps import data files via Excel spreadsheets received from various sources such as CollegeBoard, the Centralized Application Systems (CAS), and numerous vendor media files. Provides quality assurance of imports once completed. Provides support for other system downloads and mappings, as needed.
Performs daily imports of test scores from various undergraduate and graduate national testing agencies, such as GRE, GMAT, SAT, ACT, CollegeBoard, IELTS, etc.
Performs daily document retrieval from various systems, such as Parchment, SCOIR, CollegeBoard, etc., to import into our Admissions CRM and electronic document systems.
Actively assesses and processes undergraduate and graduate prospect, inquiry, application and enrollment data and materials.
Receives and processes secure data collection documents not provided during the initial application process.
Reads high school and college transcripts and enters relevant data into the Admissions CRM, such as GPA, attendance dates, and other specific data points as needed.
Calculates cumulative high school GPA and collegiate transfer and graduate GPA for all applicants.
Assists in overseeing and engaging a small group of student employees to ensure accurate and efficient data entry and processing of all prospect, inquiry and application materials.
Performs regular quality assurance audits on prospect, inquiry and application materials and takes corrective action as needed.
Investigates and resolves duplicate student record and social security number discrepancies in Admissions CRM and University SIS.
Oversees application changes after submission.
Collaborates with Admissions counseling and events teams to ensure proper processing and handling of inquiry, application, event, enrollment data, and materials. Communicates efficiently and professionally with admissions and campus partner colleagues when required to solve issues.
Identifies and anticipates issues of efficiency and accuracy in the areas for which they are responsible and develops possible solutions.
Ensures that all work meets the standards for accuracy and timeliness established by supervisors and accreditation standards.
Works and learns independently with minimum supervision, ably gaining the necessary knowledge of Ellucian Colleague SIS, Slate CRM, Etrieve CMS, and all other technologies utilized by the Admissions Systems team.
Provides regular progress reports to supervisors.
Completes other responsibilities as assigned.

Qualifications
High School Diploma or equivalent required; Bachelor’s degree preferred.
Strong Microsoft Office skills, with an emphasis on Excel, and an ability to learn software quickly.
Exceptional level of attention to detail and accuracy.
Ability to prioritize tasks and meet deadlines in a high-volume environment.
Ability to understand and follow systems and established processes and standards.
Ability to establish and maintain effective working relationships with others.
Flexibility and willingness to respond to the department’s shifting needs and priorities.

Confidentiality and a high level of integrity required.
Experience as a team leader or supervisor is preferred.
Experience working in higher education or an office environment is preferred.
