Job Summary
The Administrative Assistant supports the general administrative functions of
a wide variety of administrative tasks including answering phones, preparing
documents and reports, retrieving vendor invoices, assisting with plant
level accounting needs (AP, AR, POs), compiling records,
organizing and maintaining information, coordinating calendars, and
providing general office support.
Office Hours: 7:30am to 4pm
Principle Duties and Responsibilities
Communicate routine and general information to staff, customers, and/or
the public about standard services, processes, and procedures using
prescribed or established guidelines.
Provide administrative support to leaders to enable day-to-day operations for
their teams and initiatives.
Retrieving daily mail and sorting accordingly.
Daily check deposits (upwards of 30 checks daily).
Answering main line phone calls and directing calls to the proper
departments/managers (100+ incoming calls daily).
Works closely with regional accounting team to process company invoices.
Communicating with outside vendors to retrieve monthly statements and assist
with processing invoices.
Knowledge of PO submissions.
Comprehension of accounts receivable and accounts payable.
Coordinates company events (150+ Employees)
Assist with project coordination within the team.
Establish and maintain office files and activity logs
Receive, process, and ensure confidentiality of sensitive information.
Maintain inventory of office equipment and supplies
Perform routine data entry.
Review documents and ensure proper format.
Prepare, process, update, and compile routine documents, records, and reports.
Prepare routine correspondence, reports, and other documents.
Qualifications
Bi-Lingual (Preferred)
Minimum of a high school diploma
Minimum 1 to 3 years of experience in administration/accounting;
however, 3 to 5 years is preferred
Working knowledge and proficiency in the use of computer and business-related
software, including Microsoft applications (Excel, Word and Outlook)
Working knowledge of various office equipment (computer, scanner, etc.)
Compensation & Benefit Information:
Hourly Pay Range: $19-$22 per hour dependent on experience*
*pay range may be adjusted depending on cost of living
Bonus/Incentive Pay:
Incentive pay may be available for certain job roles and may include piece
rate incentives, weekly production bonuses, trip rates, and employee
referral bonuses. A discretionary annual bonus based on Company and business
unit performance may also be provided.
